Job Description

Position Summary:

Provide high-level administrative support to the CEO and COO by preparing reports and presentations, drafting and filling documents, handling information requests, calendar and email management, expense management, travel arrangements, composing and preparing correspondence. 

Principal Accountabilities:

  • Draft and/or fill out documents pertaining to purchase contracts and disclosures
  • Prepares information and research assigned projects
  • Update company files, prepare legal contracts, preparing executive summaries and reviewing documents
  • Arranges travel, accommodation, itineraries, and all correspondence as related to arrangements as needed
  • Manages executive schedule and acts as a liaison for executive team
  • Prepares reports presentations, data, as well as maintaining files, records and correspondence for meetings
  • Manage executive emails to include reading, analyzing, replying and organizing  
  • Handles confidential information; organizes and maintains files
  • Answers phone inquiries, directing calls and providing information
  • Manage expense reports and invoices for executive team
  • Monitors and manages budgets as needed
  • Plans, organizes and implements executives personal day to include meetings, events, lunch and runs errands
  • Other office duties as assigned

Qualifications

  • Bachelor’s degree in business administration or related field preferred
  • Three to five years’ prior experience in mid to senior level administration, business, management or related field
  • Proficient computer skills including Microsoft Office Suite (Word, Excel, Power Point); scheduling appointments and updating calendars
  • Experience with Smartsheets would be beneficial
  • Comfortable in a fast-paced evolving environment with multiple tasks and projects
  • Able to organize and manage substantial amounts of files, tasks, schedules and information
  • Self-directed able to work without supervision while eager to tackle new projects
  • Comfortable able to communicate with all levels of the organization and clients
  • Excellent written and verbal communication skills
  • Able to concentrate on multiple problems/tasks at once
  • Excellent time management and prioritization skills
