Job Description

Reporting to the Sales Operations Manager, the Sales Operations Coordinator will support our Polar Travel Consultants with documents and internal reporting and provide stellar customer service to our travelers and agent partners. They will play a key role in the success of the Polar Travel Consultants and the Sales team.

Key Responsibilites

  • Communicate with agents/passengers to ensure completion of required online passenger forms and assist with data entry
  • Identify areas of improvement and collaborate with ideas
  • Work with the Passenger Operations Manager to create accurate final documents
  • Assist with the build and administration of Group products
  • Send out final documents for Polar clients
  • Send manifests and reports to the ships and relevant parties as needed
  • Liaise with the Quark Medical Director regarding passenger medical forms
  • Assist with managing the customer record database and merge duplicates
  • Process and manage FOC and reduced revenue bookings
  • Procure Letters of Invitation for visa assistance when required
  • Manage and action inbound Client Service telephone calls, e-mail messages, letters, client payments
  • Assist with correspondence – e-mail messages, formal letters
  • Prepare weekly overdue options reports
  • Various other duties as necessary

Qualifications

What We Are Looking For

  • Superior attention to detail is essential
  • Excellent customer service and communication skills, written and verbal
  • Experience with Microsoft office – Excel, Word, PowerPoint
  • Able to work as part of a team
  • Ability to problem solve independently
  • Administrative experience, ideally in the high-end adventure travel industry or other luxury product
  • High level of integrity and strong Client Service approach
  • Comfortable communicating with customers by email and over the telephone
  • Strong planning, organizational and prioritization skills
  • Knowledge of the travel industry
  • Knowledge of Salesforce would be an asset
  • Great flexibility in a changing environment
