Job Description

The LCT Operations Specialist is responsible for the execution of the assigned TCS Luxury Custom Travel journeys and small jet programs. They spend the majority of their time on trip management including guest satisfaction, quality control, budget management and vendor management to ensure we properly deliver a trip that is carefully crafted with unparalleled and meaningful experiences.  Operations Specialist work closely with Travel Consultants to take over guest proposals once the booking has been made, and with Travel Coordinators for support with documents and other administrative and accounting support.

Essential Functions:

  • Creating unique custom excursions based on the guest wishes and the agreed upon itinerary set forth in the proposal phase
  • Oversee overall trip execution components which include; development of touring options, working with DMCs in putting together the logistics, surprise and delight elements, meals and special evening events, special experiences, transportation including commercial and private air, hotel accommodations and suite upgrades, charters of boats, trains, etc., special diet needs, special occasions, crew arrangements, advance staff itineraries and meetings, on the ground handling and tipping
  • Responsible for assigned trip P&Ls, manages budgets and makes decisions on trip spend in coordination with the Travel Consultant
  • Maintains vendor relations by communicating proactively to ensure all the details are planned ahead of time and guides are trained appropriately
  • Manages any trip incidents, emergencies or changes prior to the trip, while a trip is in operation or post trip. Communicate and escalate with the internal team for troubleshooting and guest communication
  • Keeps Travel Consultants and manager aware of changes including updates and trip revisions
  • Works with Coordinator and proofs all assigned trip documentation for integrity of product information
  • Manages all guest amenities, gifts (before, during and post travel), and surveys
  • Inputs and manages all trip information in both our CRM and accounting systems, overseas all payments and accounting
  • Is responsible for overall guest satisfaction on the trip, checks in with local partners and makes recommendations to address any challenges.
  • Able to travel for the company as needed (<10%)

Qualifications

  • Able to communicate effectively with suppliers, vendors and agents the standards and expectations of TCS to ensure the execution of services to agreed standards
  • Undergraduate degree or equivalent combination of education and experience
  • Previous experience managing operational tasks, preferably in a travel related industry
  • Requires a demonstrated ability to problem solve, particularly in times where time is short, and guests require immediate assistance
  • Requires exceptional organizational and time management skills, and a demonstrated ability to smoothly handle multiple overlapping trips, and efficiently manage conflicting priorities
  • Travel experience, particularly to top TCS destinations or in luxury travel, is very helpful but not required
  • A solid understanding of itinerary development
  • Able to work independently and in a team environment
  • Requires exceptional relationship-building skills including a well-developed ability to rapidly build rapport with domestic and international vendors.
  • Strong oral and written communication skills.
  • Ability to travel for the company as needed
  • A demonstrated ability to work cooperatively across all TCS departments
