Job Description

Exciting opportunity for a service-minded administrative professional at Topcon Healthcare in Capelle aan den IJssel. As a Service Administrator you are responsible for administrative work that arises from customer service requests. You work closely together in a team to assist/support the department and customers where necessary in the entire process. You ensure that the work performed is invoiced quickly and correctly. In this exciting position, you will contribute to a smooth administration of Topcon’s Service Engineering department.

In this role, you will:

  • Provide administrative support to the service department, including managing schedules, preparing reports, and handling correspondence..
  • Assisting customers with inquiries, issues, and requests related to services provided by the organization.
  • Maintain accurate and up-to-date records of service activities, customer interactions, and service agreements.
  • Process service orders, including verifying information, generating invoices, tracking orders, and coordinating with other departments or vendors to fulfill customer requests.
  • Manage inventory levels of service parts, equipment, or materials, and coordinate with procurement or warehouse teams to replenish stock as needed.
  • Generate invoices, track payments, and resolve billing discrepancies or issues with customers or finance departments.

In your role, you ensure the administration is in order and quality is guaranteed. You also contribute to improvements of our processes . At Topcon you operate in a dynamic and international playing field.

Qualifications

Candidates without a valid work permit won’t be considered.

An experienced administrative professional with great accurate and pragmatic skills. You are pro-active, structured and able to maintain contacts with different stakeholders at various levels. You are a real teamplayer who takes ownership and is process driven. With your dynamic attitude, you will succeed to continuously improve the administrative support. You have a proven track record in an administrative role and qualifications as:

  • A completed secondary vocational education (MBO) in Administration or related field
  • At least 3 years relevant experience as an administrator in a service oriented and international environment
  • A proactive and customer-oriented attitude
  • You are flexible, accurate, stress resistant and good at planning and organizing
  • Excellent written and verbal communication in English and preferably Dutch
