Job Description

As our Shared Service Centre continues to expand, we're looking for a Project Coordinator – Shared Services, Systems & Digital Tools to support the implementation of processes, systems, and digital solutions across Europe.
In this role, you'll work closely with project teams, business stakeholders, IT colleagues, and external vendors to help coordinate projects, support market onboarding activities, and contribute to the successful adoption of systems, tools, and governance practices. You'll play an important role in ensuring initiatives are delivered efficiently while helping teams stay aligned and informed throughout the project lifecycle.
What You'll Be Doing
As part of TOMRA's Shared Services transformation journey, you'll support projects focused on systems, digital tools, service improvements, and market onboarding initiatives across Europe.
Support Market Onboarding & Shared Service Centre Enablement
Assist with onboarding activities for new markets by coordinating project tasks, tracking progress, arranging training activities, and helping ensure teams have access to the systems, processes, and documentation needed for success.
Coordinate System Implementations
Support the implementation of software solutions, digital tools, integrations, and service improvements by maintaining project plans, coordinating activities, tracking milestones, and ensuring effective communication between stakeholders.
Support Vendor & Technology Partner Activities
Help coordinate activities with external providers, assist with onboarding processes, monitor deliverables, and support procurement and administrative activities where needed.
Facilitate Cross-Functional Collaboration
Work with business teams, IT, Security, Procurement, and external partners to gather information, follow up on actions, coordinate meetings, and help ensure projects remain on track.
Support Governance & Compliance Activities
Assist in maintaining project documentation, tracking risks and action items, and ensuring projects follow established governance, security, and compliance requirements, including relevant frameworks such as NIS2 and ISO27001.
Contribute to Continuous Improvement
Support initiatives focused on improving service management processes, reporting, Jira Service Management workflows, automation opportunities, and operational effectiveness across Shared Services.
Qualifications
What We're Looking For
We're looking for someone who enjoys bringing structure to multiple activities, coordinating across teams, and helping projects move forward in an organized and efficient way. You are detail-oriented, proactive, and comfortable working with a broad range of stakeholders in an international environment.
You Will Likely Bring
- Around 2-3 years of experience in project coordination, PMO, Shared Services, operations, systems implementation, business support, or a similar environment.
- Experience coordinating projects, system implementations, process improvement initiatives, or business change activities.
- Hands-on experience with Jira Service Management, including workflow management, SLA tracking, automation, reporting, and service process support.
- Experience supporting the implementation and adoption of software solutions, digital tools, or operational systems.
- Strong organizational skills with the ability to coordinate multiple workstreams, priorities, and stakeholders simultaneously.
- Experience working with stakeholders across different functions, teams, and locations.
- Confidence in tracking project activities, maintaining project documentation, monitoring risks and actions, and following up on key deliverables.
- Interest in process improvement, governance, Shared Services, and digital transformation initiatives.
- Strong communication skills, attention to detail, and fluency in English.
Nice to Have
- Experience working within a Shared Service Centre environment.
- Knowledge of system integrations, master data management, and process standardization.
- Familiarity with governance, compliance, or information security frameworks such as ISO27001 and NIS2.
- Experience coordinating vendor onboarding activities and working with third-party service providers.
