Job Description
As Facility Coordinator, you are responsible for maintaining and organizing all activities related to our TOMRA site, ensuring a safe, sustainable, clean, and functional environment for employees, visitors, and stakeholders. You will take ownership of site safety management, leading GEMBA walks, coordinating timely execution of safety measures, and ensuring appropriate follow-through supported by management.
Facilities Management & Coordination:
o Coordinate site-based facilities management services to ensure an optimal working environment
o Organize and oversee cleaning schedules, security, and registration procedures
o Plan, schedule, and track repairs, renovation projects, and waste reduction improvements in collaboration with the prevention officer
o Ensure the timely execution of facility-related projects such as moving, lighting maintenance, and minor electrical work
o Manage the daily and weekly oversight of facility operations and proactively address issues
Budget & Vendor Management:
o Maintain the budget for facility operations, ensuring cost efficiency while maintaining high standards
o Work with procurement to negotiate with outside vendors for supplies, repairs, and maintenance services
o Oversee and coordinate external service providers, including cleaning professionals, maintenance staff, and contractors
Administrative & Management Support:
o Provide professional administrative support to local management regarding budget planning and facility-related matters.
o Ensure all aspects of the building, grounds, assets, and systems are maintained to agreed standards within time and budget constraints.
o Support internal events by ensuring appropriate facility preparations and logistics.
· Site Safety Leadership & Compliance:
o Act as the Single Point of Contact (SPOC) for all site safety-related facility requests.
o Coordinate GEMBA walks, actively identifying safety hazards, tracking corrective actions, and ensuring their timely resolution.
o Oversee the execution and follow-up of safety measures in collaboration with the management team. o Promote a “Safety First” culture among employees, visitors, and vendors.
o Conduct regular inspections to identify and proactively mitigate risks.
o Ensure compliance with Health & Safety Authority (HSA) regulations and other relevant safety standards.
This role requires a high level of accountability in managing site safety, ensuring the timely execution of safety actions, and driving a culture of proactive safety awareness and compliance across the site.
Qualifications
- Experience in facilities management, safety coordination, or site operations
- English & Dutch mandatory, any other language is a plus
- Certified as prevention advisor – level 2 is a plus
- Strong knowledge of safety regulations and compliance requirements
- Ability to lead safety inspections and GEMBA walks, ensuring corrective actions are implemented
- Strong organizational, project management, negotiation, and communication skills
- Proficiency in budget management and vendor coordination
- A proactive, hands-on approach with the ability to multitask and problem-solve efficiently
- English & Dutch mandatory, any other language is a plus
