Job Description

About the role:
This role has many facets, but the primary ones are communication and administration. On a daily basis you will communicate with internal team members, ranging from Field Service Engineers to Project Managers, and with customers to ensure they are satisfied with TOMRA and our services. Administration is a large portion of this role, so you will need good computer skills and have a keen eye for detail.

You are the glue between the service team and our customers and will be part of a small team who value teamwork and getting the job done to a high standard.  Some of the key aspects to the role will be:

  • Dispatching field service engineers (FSEs) for planned and unplanned maintenance such as assessments, start-ups, training, installation, maintenance and repair services
  • Process and submit quote estimates to customers for service work as required.
  • Properly forecast and schedule correct number of hours and/or days for FSE’s.  
  • Work with our ANZ regional Parts team on the logistics related to the shipping and tracking of parts orders and updating our customers as needed.
  • Actively monitor any backlog of parts orders to ensure timely delivery to our customers
  • Submitting accurate work orders to the financial system for invoicing
  • Managing our TOMRA Care service contracts

Qualifications

About you:
Above everything we want someone with a can-do attitude who can positively influence outcomes and deliver results.  Other skills we are looking for include:

  • Minimum 3 years experience in an administration role
  • Ability to resolve complex customer enquiries
  • Experience in using Microsoft Office Suite package and Salesforce with Microsoft D365 would be seen as an advantage
  • Prior experience in a role scheduling field-based specialist highly regarded, but we are also willing to teach you
  • Excellent phone manner and good computer skills
  • Ability to learn quickly in house computer systems and procedures.
  • High-level of organizational skills and able to work in a fast-paced environment.
  • Strong team player willing to do other functions as needed.
  • Excellent communication skills both written and verbal.  
  • Proven ability to build rapport quickly both internally and externally.
