Job Description

The purpose of this position is to provide administrative support to the sales team, Head of Global Sales and Sales Operations manager including coordinating and organising the team for tradeshows and sales events globally, managing customer relationships and identifying process improvements.

Operations

  • Monitor databases, ensuring all Sales documentation, filing and archiving is up-to-date 
  • Support the team with reporting and coordinating product information for customers and events
  • Manage Head of Global Sales calendar and appointments
  • Help with data extracts and presentations as needed
  • Coordinate and organise sales team for tradeshows and events globally including travel requirements, accommodation, event planning and preparation
  • Enhance or create systems to ensure that all contract related correspondence and documentation is stored securely and systematically
  • Support the Global Sales Operations Manager and Global Category Director’s with other adhoc tasks as needed

Customer Service

  • Communicate regularly with customers
  • Prepare sales/service quotes and sales/service agreements as needed
  • Build and maintain excellent relationships with key customers globally
  • Share in the ownership of driving customer loyalty by ensuring customer expectations are met / exceeded and any issues / concerns are resolved in an appropriate manner

Relationship Management

  • Act as liaison between sales and marketing to organize and coordinate events and trade shows
  • Send marketing related materials (such as brochures, caps, etc.) in cooperation with marketing department
  • Effective and participatory team player.
  • Establishes rapport quickly and maintains productive working relationships with colleagues and external stakeholders Takes the initiative to build/strengthen relationships with others

Health & Safety

  • Actively participate in their health and safety (H&S) responsibilities as outlined in the H&S Management Program.
  • Follow all established work procedures regarding the requirements for H&S, including the use of PPE, no matter of location (i.e., Factory or offsite).
  • Actively participate in the identifying and reporting of hazards.
  • Actively participate in rehabilitation and return to work procedures following an (work related or non-work related) accident.
  • Actively promotes and supports health and safety, and wellbeing initiatives or opportunities for improvement.
  • Adheres to all H&S practices and rules as they relate to the position and working environment(s) and seeks out advice when unsure.
  • All accidents/incidents/near misses are reported to the direct manager within 48 hours of their occurrence.
  • Complies with establish work procedures and practices when working offsite.
  • Hazard ID form is completed, and relevant advice is sought when hazards are identified.
  • Acts as an internal advocate for H&S and Wellbeing initiatives

  • Complete administrative tasks in an accurate and timely manner

Qualifications

Required skills/abilities:

  • Excellent verbal and written communication skills
  • The ability to deal effectively with customers in the English and Spanish language are necessary

Physical Requirements:

  • Sit and stand for long periods of time. Carry trade show equipment as needed 20-25 lbs. of lifting from time to time.

Experience:

  • Excellent telephone skills and proficiency in Microsoft Office (i.e. Word, Excel, Outlook, Power Point).
  • Demonstrated proficiency composing written communications.
  • Effective problem-solving capabilities
  • Collaborative and team-oriented attitude
  • Resourceful, well organized, highly dependable, efficient and detail oriented.
  • 2-3 years’ previous sales and marketing support experience.

Education

  • Bachelor's degree in related field preferred

Travel

  • 15-25% of the time
  • Driving - as required for participation at trade shows and company meetings - good driving record is required
