Thungela focuses on exporting its thermal coal portfolio mainly to the Indian, Asian, Southeast Asian, Middle East and North African markets.

Job Description

Responsible to provide professional administrative, secretarial and office management services to the MPRP team. Administrative, secretarial and office management services may be provided to the Head of Legal, in a limited capacity.

The focus areas for this role will be to manage and co-ordinate the following:

Performance & Delivery

• Provide professional secretarial services to function incl.:

o Set up and maintain an efficient filing system of hard copy and electronic documents and information retrieval system including the recording, storing and supply of information emanating from meetings, reports and other correspondence.

o Ensure that relevant documents are uploaded on the relevant systems in place e.g. Licenses, Agreements, Ervens, New Farm Portions, Property Transfer Information, Agreements, reports, etc.

• Provide an efficient and professional clerical administration function to the function:

o Assist with development, collation and submission of documentation including property transfers.

o Document preparation, organising and storage (binding, scanning etc)

o Printing of the required submission documents

o Develop and maintain a database for effective storing of relevant documents such as briefs, financial records and any other relevant documentation.

o coordinating and processing of all municipal rates and taxes accounts and invoices across the operations pertaining to the immovable property managed within the MPR&P scope

o Circulation of all necessary correspondence, including policies, procedures and any other relevant information relating to the department.

o Receive Quotations, raise purchase requisitions, follow up on order numbers, and send order numbers to Suppliers by using SAP.

o Coordinate and maintain all legal firm invoicing schedules and correspondence thereof with law firms

o Record keeping of all MHSA appointments

o Capturing and filing of agreements, NDA’s, MOU’s etc. pertaining to the MPR&P scope and maintenance of associated schedules

o Coordinating and maintaining property tax schedules and documentation for purposes of the Tax team

o Assist with record keeping and maintenance of mineral and property related agreements and schedules such as access agreements, servitudes, leases, and tracking of expiry and compliance dates for mineral rights

o Assistance with any stakeholder engagements or functions relating to the MPR&P scope, inclusive of making the necessary bookings, arrangements, agenda’s and minutes etc.

o Assistance with property valuation roll and objections

o Assisting with travel arrangements and bookings

o Record keeping and maintenance of MPR&P templates

o Document formatting

o Recording keeping and maintaining of regulatory reports and associated schedules e.g CBM and DWS monthly, quarterly and annual reports

o Supporting due diligence exercises, audits and legal compliance reviews

• Prepare, organise, attend and record meetings as required i.e. land claim meetings.

o Prepare and coordinate agendas, meeting packs, minutes and action lists.

o Compile necessary documentation as required by the team in preparation for meetings or submissions

• Manage the invoicing process and create a system for easy retrieval of invoices.

o Raise and manage Sole Source Motivations and Purchase Requisitions on SAP in line with Supply Chain requirements.

o Manage the receipt and processing of all invoices relating to the MPR&P scope, inclusive of all legal invoices and assistance to the broader legal team.

o Update and maintain Rates Paid Schedule and track all outstanding balances.

o Update and maintain municipal account schedules.

o Ensure schedules are reviewed by the relevant Specialist.

o Upload reviewed schedules on Docusign for MPRP Manager’s signature.

o Follow up on proof payments with the relevant departments and law firms and ensure conclusion.

o Handle queries with municipalities and escalate where required.

Qualifications

Knowledge and Experience

• Minimum of 2 years’ Secretarial / Administrative experience

Operations:

• Basic knowledge of mining and other relevant legislation applicable to Thungela Resources incl.:

o Mine Health & Safety Act, No 29 of 1996

o Protection of Personal Information Act, No 4 of 2013

Proficient knowledge of information technology that support office administration.

Commercial:

  • Basic knowledge of invoice management and payments
  • Basic knowledge of SAP

Management:

Emerging knowledge of stakeholder management

Compliance:

• Proficient knowledge of Thungela’s policies, procedures, standards and systems
