Neptune Pacific Direct Line (NPDL) is experiencing a period of significant transformation. Formed in 2020, Neptune Pacific Line acquired Pacific Direct Line, bringing together two of the South Pacific’s top shipping and logistics companies to support the full supply chain of our customers in the region. NPDL is part of The Wonderful Company headquartered in Los Angeles, CA. Its other companies include FIJI Water, Justin and Landmark Vineyards, Vintage Nurseries, Wonderful Citrus, Wonderful Pistachios, Teleflora, POM Wonderful and Suterra.

We are currently looking for a Bookings Co-ordinator to be part of our dedicated Customer Service team on a 6-month fixed term basis.  Essentially the face of NPDL, the team is continuing to improve and enhance the customer experience. You will interact with all functions of NPDL to ensure the smooth and efficient processing of import and export services.

What you will be doing:

• Developing and maintaining collaborative partnerships with internal and external stakeholders
• Preparing documentation including bookings, container releases and reports to third party vessel operators
• Managing the end-to-end process for coastal shipments and interisland bookings
• Organising local cartage and customs clearance
• Ensuring shippers SLI have been sent to e-Docs and ensure that the bookings match
• Ensuring bookings have been correctly auto rated prior to handing over to Documentation team 
• Attending Sales calls with key account clients as per call plan
• Creating and submitting CBF and Customs Outward Cargo Report as needed
• For Key Customers, arranging empty containers truck out and full in
• Sending accurate and timely preliminary load list and final load list to vessel planners
• Once vessel sailed, reconciling the load list and providing the finalised load list to the Export
• Cargo Readiness – ensuring approvals are received (DG and BBK OOG), empty containers uplifted, cargo in port for loading
• Arranging late receivals
• Ensuring all outbound manifests are processed in a timely manner meeting the KPI’s
• Reconciling and match completed load list against completed manifest after vessel sailed
• Ensuring all Key Account documentation is received, correctly processed and invoiced
• Checking that all Exports have CEDOS lodged prior to vessel cut off
• Coordinating and submit the Customs Outward Cargo Report per vessel voyage 
• Handling general enquires from customers
• Other duties as required

Here’s what you’ll bring to the table:

• Prior shipping/freight experience in similar position would be advantageous, but is not essential
• Experience with CargoWise would be desirable
• Team player with a positive, customer-centric attitude
• Exceptional communication skills, both verbal and written
• Intermediate proficiency with Microsoft Office Suite
• Effective time management and planning skills

This role is a 6 month fixed-term role based in Parnell. You will relish the opportunity to work hard and understand the importance of customers being a top priority.  You will possess the ability to work under pressure and make sound decisions in fast-paced environment. In addition, you will have demonstrated adaptability and flexibility to work to changing deadlines which is part and parcel of the industry. Multitasking and prioritising your work will come naturally to you while you strive to meet customer’s needs.
