We have a wonderful opportunity for an Executive Assistant to work within the Wonderful Company’s in-house creative agency.  The Executive Assistant will serve as an essential member of the Wonderful Agency with the primary responsibility of ensuring continuous assistant coverage for the President, Advertising and Corporate Communications, the Chief Creative Officer, and the Chief Corporate Affairs Officer.

The Executive Assistant must display a high-level of professional communication and people skills - as well as maturity in handling business and confidential situations. Job Description

  • Manage the complex day-to-day schedule and prioritization of activities of these three executives, proactively identifying and resolving scheduling conflicts.
  • Arrange complex and detailed travel plans and itineraries; compile backgrounds for travel-related meetings.
  • Administrative duties such as coordination of meetings including both onsite and offsite, expense reimbursement, correspondence, mailings, and more.
  • Coordinate events including organization around use of facilities and catering, invitations, and budget tracking.
  • Screen incoming calls and correspondence and respond independently when possible.
  • Facilitate communication with executive, administrative, and all levels of employees, as needed.
  • Compose routine correspondence, organize, and maintain confidential files and records.
  • Demonstrate constant professionalism, integrity, and sense of urgency.
  • Consistently meet deadlines with minimal supervision.
  • Create simple PowerPoint and/or Keynote presentations, as needed.
  • Manage and update the Agency org chart on a weekly basis.

Qualifications

  • Minimum of 5 years of executive assistant experience in a fast-paced environment.
  • Ability to manage and prioritize multiple projects with competing deadlines and priorities.
  • Proven organizational and technical skills requiring expert use of Microsoft Office products and Zoom to develop and execute professional communications and presentations for a variety of audiences.
  • Strong attention to detail.
  • Professional communication and interpersonal skills.
  • High degree of proactivity and initiative.
  • Ability to effectively interact with all levels of management, including C-Suite executives.
  • Ability to maintain professionalism in all situations.
  • Relevant ad agency and/or communications and public relations experience is highly desirable, though not required.
  • Bachelor's degree or equivalent preferred.
  • A positive attitude along the way!
  • COVID vaccination will be required for this position unless candidate has a legally valid exemption.
