Job Description
Position Overview
The Plaintiff Personal Injury Intake Case Manager plays a critical role in managing pre-litigation personal injury cases from intake through medical treatment and demand readiness.
This is a high-volume, production-driven position responsible for independently managing an active caseload while serving as the primary point of contact for injured clients throughout the early stages of their case.
The successful candidate will proactively coordinate medical treatment, communicate with insurance adjusters, manage property damage claims, maintain accurate documentation, and ensure each case progresses efficiently toward demand preparation.
This is not an intake or customer service position. The ideal candidate has direct experience independently managing Plaintiff Personal Injury pre-litigation cases and understands how to move cases forward while maintaining exceptional client service.
This is a full-time onsite position located in Miami Lakes, Florida.
What You'll Do
Client Communication & Case Management
- Serve as the primary point of contact for clients throughout the pre-litigation process.
- Independently manage an active pre-litigation caseload.
- Maintain regular communication regarding treatment, case progression, property damage, and outstanding items.
- Respond promptly to calls, emails, text messages, and voicemails.
- Maintain accurate documentation within Litify or the firm's case management system.
Medical Treatment Coordination
- Monitor treatment progression.
- Coordinate appointments and follow up with medical providers.
- Identify treatment gaps and barriers delaying case progression.
- Request, obtain, review, and organize medical records and billing statements.
- Ensure cases remain on track for demand preparation.
Insurance & Property Damage
- Communicate directly with insurance adjusters.
- Verify claim information, policy limits, coverage, and adjuster details.
- Assist clients with:
- Property damage
- Total loss claims
- Rental vehicles
- Diminished value claims
- Loss of use
- PIP matters
Case Progression
- Manage a high-volume caseload while meeting productivity expectations.
- Monitor case milestones.
- Escalate legal issues requiring attorney review.
- Prepare files for demand.
- Ensure files are complete before transfer.
Performance Expectations
Success in this role will be measured by the ability to:
- Independently manage 300+ active pre-litigation files.
- Handle 50+ inbound and outbound client communications daily.
- Keep cases progressing toward demand without unnecessary delays.
- Coordinate medical treatment and provider follow-up.
- Resolve property damage issues efficiently.
- Meet departmental KPIs for productivity, responsiveness, and quality.
- Maintain complete and accurate case documentation.
- Deliver exceptional client service while balancing multiple priorities.
Qualifications
Required Qualifications
- Minimum 2 years of recent Plaintiff Personal Injury pre-litigation case management experience.
- Minimum 1 year working within a Plaintiff Personal Injury law firm.
- Experience independently managing Plaintiff Personal Injury cases from intake through demand readiness.
- Experience handling bodily injury (BI) claims.
- Experience communicating directly with insurance adjusters.
- Experience coordinating medical treatment and provider follow-up.
- Experience managing property damage claims, including total loss, rental coordination, diminished value, and PIP.
- Experience requesting and reviewing medical records and bills.
- Experience preparing files for demand or attorney review.
- Experience managing a high-volume caseload of approximately 300 or more active files.
- Experience handling 50 or more inbound and outbound client communications daily.
- Experience using Litify (Salesforce) or a comparable legal case management system.
- Fluent in English and Spanish.
- Ability to work onsite Monday through Friday in Miami Lakes.
Preferred Qualifications
- Experience with full demand and quick demand preparation.
- Experience supporting global settlements.
- Experience consistently meeting production and quality KPIs.
- Experience working in a fast-paced Plaintiff Personal Injury practice.
