Job Description

Te Whiwhinga mahi | The opportunity

We are looking for a highly organised, relationship-focused Doctoral Examinations Coordinator to join our supportive School of Graduate Studies team.

This is a rewarding opportunity to play an important role in one of the most significant milestones of a doctoral candidate's academic journey. As a Doctoral Examinations Coordinator, you'll oversee the end-to-end administration of doctoral examinations, ensuring each examination is delivered smoothly, professionally, and in accordance with University regulations.

Working with doctoral candidates, supervisors, senior academics, and international examiners, you'll coordinate complex examination processes, provide expert advice on policies and procedures, and manage multiple competing priorities with confidence and care.

No two days are the same. From coordinating examination logistics and supporting oral examinations to building strong relationships with stakeholders around the world, you'll be at the heart of delivering an outstanding doctoral experience.

Key responsibilities include:

  • Managing the end-to-end doctoral examination process from examination initiation through to degree completion
  • Providing expert advice on doctoral examination policies, procedures, and University regulations to candidates, supervisors, academic leaders, and examiners
  • Coordinating examination logistics, including working with international examiners and organising oral examinations
  • Assessing examiner nominations and supporting the appointment of appropriate doctoral examiners across the University
  • Building and maintaining positive relationships with internal and external stakeholders, including senior academics and international examiners
  • Reading and assessing examination reports and managing examination outcomes in accordance with University requirements
  • Delivering workshops and contributing to doctoral examination guidance and knowledge resources
  • Identifying opportunities for continuous improvement to enhance the doctoral examination experience

This is an excellent opportunity to join a collaborative team where your work directly contributes to the success of doctoral candidates and the University's research excellence.

This role is full-time, 37.5 hours per week, on a fixed-term basis for 12 months and is based at the City Campus. Once fully trained, the team operates a hybrid working model with the option to work at least one day per week off-site. You will be joining a small tight knit team who enjoy their work and thrive in their environment.

The salary range for this role is $63,600 - $79,300 per annum, depending on experience and qualifications.

  • Experience working in a complex administrative or coordination role, ideally within tertiary education
  • Excellent organisational skills with the ability to manage multiple priorities and competing deadlines
  • Strong communication and relationship-building skills, with confidence engaging senior stakeholders and international partners
  • High attention to detail and the ability to exercise sound judgement while maintaining confidentiality
  • A proactive, customer-focused approach and commitment to continuous improvement

The following would be beneficial:

  • An understanding of the doctoral student lifecycle and postgraduate research environment
  • Experience using student management systems within a tertiary environment
