Te Whiwhinga mahi | The opportunity

We are seeking an experienced Administration and Finance Coordinator to join the New Zealand National Eye Bank based in Grafton, Auckland.

This is a multifaceted and essential role, vital to supporting the financial, administrative, and operational functions of a small, highly committed team dedicated to restoring sight for New Zealanders through corneal donation and transplantation.  The New Zealand National Eye Bank provides over 300 corneas for transplant across New Zealand each year, as well as over 200 other tissues for eye surgery.

Working closely with the Business Manager, you will provide end‑to‑end finance coordination alongside general administration and HR support, contributing to the smooth and effective operation of this nationally significant service.

In this varied role, you will be responsible for:

  • Managing  and maintaining the Xero accounting system, including accounts payable and receivable, reconciliations, reporting, and processing expense claims
  • Preparing quotes, invoices, remittance advice, and financial reports for hospitals, clinics, and stakeholders
  • Supporting budgeting, forecasting, quarterly reporting, audits, and statutory financial returns
  • Providing HR administration support, including recruitment coordination, onboarding and offboarding, and administration of the Tupu performance process
  • Coordinating governance and stakeholder activities, including Board, internal, and external  meetings, taking minutes, maintaining records, and managing communications
  • Supporting general administration, purchasing, database maintenance, distribution of marketing materials, social media updates, and ad hoc projects as required by the Eye Bank Management Team

This is a part-time (30 hours per week), permanent position. 

The salary range is $61,701 - $71,000 (pro-rated) per annum, depending on skills and experience

You enjoy working in a small team environment, can manage multiple priorities with confidence, and take pride in delivering accurate, timely work. You build positive relationships with a wide range of stakeholders and bring a service‑focused, professional approach to everything you do.

You will bring:

  • A tertiary qualification in accounting, business administration, finance or a related field
  • Minimum 5 years’ experience in an accounting and administrative role
  • Advanced working knowledge of Xero accounting software, with proven experience managing accounts payable and receivable, reconciliations, and financial reporting
  • Experience in working with stakeholders in large organisations or community groups
  • Clear and confident communication skills (written and verbal)
  • High attention to detail and accuracy in financial processing
  • Strong computer skills (Microsoft suite of programmes)
  • Proven ability to meet deadlines and work under pressure
