Te Whiwhinga mahi | The opportunity
We are looking for a University Committee Executive to join our Office of the Vice-Chancellor. You will work alongside one other University Committee Executive to provide secretariat management for the University’s most senior and formal committees, such as Council and its Committees and Vice-Chancellor’s Advisory Committees. You will effectively manage the governance, policy and statutory requirements for committee work, lead improvement strategies to University committee work and, display commitment to continuous improvement. This role, amongst other duties, will take primary responsibility for three Council sub-committees, being the Finance Committee, Audit & Risk Committee and Capital Expenditure Committee, as well as the administrative support of the University’s policy register.
Other aspects of the role include:
- Manage committee documentation, compile agendas and distribute in an efficient and timely manner.
- Proactively monitor all required actions set during committee meetings and ensure action owners respond within the specified timeframes.
- Generate periodic governance reports of the University’s suite of policies and assist policy owners to maintain currency of policies and procedures.
This is a full-time, 37.5 hours per week role on a permanent contract. The salary range for this role is $80,900 - $99,900 per annum, depending on experience and qualifications.

He kōrero mōu | About you
Our suitable candidate will meet the requirements below:
- Bachelor’s level qualification together with relevant work-related experience.
- At least 7-10 years experience working in a tertiary environment or other large complex organisation in a senior administrative or secretarial role.
- Substantial proven experience in providing excellent secretarial services to high-level committees, boards or other governing bodies.
- Proficient in the use of MS Office applications and ability to learn University information systems.
- Knowledge and understanding of legislation pertaining to the university, such as the Education Act, Local Government Official Information and Meetings Act and to Finance, Capital Expenditure and Risk functions.
- Demonstrated capacity to conceptualise, develop, and review governance, policy, legal and process documents within a tertiary environment or similar large complex organisation.
- Excellent verbal and written communication skills, including report writing.
- Understanding of committee management.
- Understanding of stakeholder relationship management in a governance context.
- Proven ability to interpret information and exercise sound judgment.
- Ability to work with high autonomy and independence while showing initiative.
- The ability to work proactively and collaboratively in a team environment.
- Proven proofreading skills, attention to detail, ability to maintain confidentiality, apply tact and discretion and manage time effectively.
