Job Description

The Role

We are currently looking for a Team Assistant who is self-sufficient, organised and flexible to support our in-house team, as well as assisting the Team Secretaries with the overflow of work.

You will be providing support to a variety of people, so someone used to dealing with a wide range of personalities will be ideal. As well as using MS Word, Excel and PowerPoint, you will need strong secretarial skills and outstanding prioritisation and workload management capabilities.

Main duties will involve:

  • Database work including registering of candidates/jobs on our Mercury database including “coding” candidates and clients.
  • Uploading job adverts and checking for expired ads to flag to the consultants.
  • Arranging candidate interviews with both internal and external clients.
  • Diary management for Taylor Root In-House Management.
  • Updating spreadsheets with job information.
  • Formatting CV’s in Taylor Root house style.
  • Uploading candidates’ CVs to job portals and logging CV submissions and interviews on the database
  • Keeping track of portal logins and ensuring any login changes are saved to the correct spreadsheet and on the client record.
  • Loading new roles to the database.
  • Processing and submitting placement sheets, retainer fees and shortlist fees on behalf of the fee-earners
  • Assisting fee earners in collating compliance documents for interviewing, placed and temporary candidates and keeping track of received/outstanding documents.
  • Doing adjusted right-to-work checks over video call and in-person.
  • Sending out a daily list of re-registrations to the in-house and private practice teams.
  • Creating lists and searches for both candidate and client contacts on request of the fee-earners.
  • Assisting with business development projects eg market mapping, event delegate lists, large scale sector based projects, weekly job board updates.
  • Processing expenses for senior TR Management.
  • Helping to plan events.
  • Arranging both UK and international couriers.
  • Preparing papers and reports for meetings.
  • Generally maintaining and updating the database.
  • Answering internal and external calls promptly in a polite and professional manner.
  • Reception cover.
  • Any other ad-hoc duties as required.

Qualifications

PC Skills

Microsoft Word for Windows.  Fast and accurate typing skills (minimum of 45wpm) are absolutely essential.  We use a recruitment database package called Mercury, on which we will offer in-house training.

Natural enthusiasm, a strong work ethic and a proactive nature are essential in this role.

Additional Information

Working Pattern

You can work up to 3 days of your time remotely and the other 2 days in the London office. When in the office, we’ll expect to see you between the core hours of 9.00 am and 5.30 pm, giving you flexibility to manage your remaining working time around childcare, wellbeing activities and other personal commitments. Due to the nature of our business, a degree of flexibility is essential to meet deadlines when required.
