Job Description

People, Process and Profits. The Prosper Group is a growing agency with increasing leadership needs.  The Vice President of Operations will work with our current Controller (and head of the administration team) to coordinate a variety of focused initiatives, including the collection and analyses of company financial information, human resources, and operational logistics.

The goal is to improve our understanding of our business and how it operates.  Our ideal candidate will be an experienced professional with a passion for details and desire to tinker with our process until it is perfect. They will take the initiative to manage multiple priorities and explore new frontiers.

Responsibilities

Your team.  The Vice President of Operations will lead a team including our Controller, Talent Development Manager, Office Manager and part-time Recruiter.  In addition, The Vice President of Operations will join our leadership team to participate in company-wide strategic discussions and decision-making.

People

A positive culture, good communication and clarity of purpose is important to The Prosper Group.  Currently, our Controller (and our Leadership Team) work with our outsourced Human Resources firm to coordinate all HR needs.  As we grow, however, our need for recruiting, training, on-boarding employees has become more acute. Additionally, attention to ongoing employee satisfaction is essential.

Working with our team, the Vice President of Operations will lead the conversation to execute, improve and measure programs in the following areas.    

  • Recruiting the best employees
  • Providing ongoing training in hard and soft skills
  • Measurement of employee satisfaction and maintenance of positive company culture

Process

Working with additional company leadership, build out data and software infrastructure required to comprehensively track key company data points.  From that data, develop relevant and valuable reports to identify trends, improve efficiency, and maximize our value proposition to build upon our competitive edge.

General Business Analytics: Potential reports and goals in the category of general business analytics.

  • Data points: average revenue per customer, average order size
  • P&L by client
  • P&L by service vertical
  • Hours allocation and employee time use
  • Customer satisfaction and loyalty
  • Customer retention
  • Employee performance
  • Potential product: management dashboards
  • Human resources: resumes received; candidates interviewed

Logistics: Driving to get the research, decision making, and execution needed done in the following areas.

  • Facilities: office building, furniture, cleaners, décor, etc.
  • New employee workstations, location and set-up
  • Physical asset inventory and care
  • Employee access control (data, software, building, etc.)
  • Personal technology: employee computers, phones
  • Vendors in this category: IT firm (Promethius), computer hardware (Dell/Apple), software (Microsoft/Adobe)

Enterprise Technology Infrastructure and Innovation: In cooperation with other members of our leadership team, be part of the team responsible for research, decision making, and execution in the following areas.

  • Project Management/CRM: Accelo
  • Other large technology contracts including DSP (Adobe), ESP (Critical Impact), Data Warehouse (TMM), and Data Management Platform (Adobe)

Profits

The Vice President of Operations will work closely with our current controller.  The company books are well maintained, accurate and up to date.  As we expand, however, we desire to dig deeper into company financials, improve financial management, revenue forecasting, budgeting and pricing strategies.

  • Identify and improve company financial metrics and reporting
  • Work with VP of Sales and Marketing to develop ongoing sales projections/forecasts
  • Develop and maintain company budget
  • Work closely with controller to identify and negotiate vendor contracts

Qualifications

The role as identified requires diverse experience but is supported by a good team.  Minimum requirements include.

  • Five years of experience in a senior management role in operations or finance
  • Project management skills and understanding how to manage the priorities of multiple stakeholders in a complex environment
  • Excellent writing skills
  • Familiarity with Microsoft Office suite.
  • Excellent verbal and presentation skills with an ability to clearly convey concepts to different stakeholders.
  • Accountable for starting tasks with limited direction while functioning in a team environment.
  • Flexibility with time and schedule to meet deadlines.
  • A positive and enthusiastic attitude.
