Job Description

We are a local family-owned HVAC company seeking a dedicated and organized Office Manager to join our team. The Office Manager will play a crucial role in ensuring smooth operations by managing scheduling for staff, service, and installation appointments, and providing support/backup to the management teams, CSR reps, and Service Techs. 

The Office Manager is responsible for all transactional activity for accounting/billing, human resources-related functions, and offers administrative assistance across various other operational activities. The ideal candidate will be detail-oriented, possess excellent communication skills, and show excellent time-management skills.  

Office Manager Job Responsibilities: 

  • Responsible for all transactional activity in AR/AP, month-end closing processes in QuickBooks, weekly check runs, monthly bank reconciliations, and sending financial reports.  

  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions. 

  • Responsible for all payroll processes through Paychex software and updating PTO schedules.  

  • Updating and monitoring company credit cards and expense report processes. 

  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. 

  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments by improving processes.  

  • Keeps management informed by reviewing and analyzing special reports, summarizing information and identifying trends. 

  • Maintains office staff with orientation, employee records, and scheduling training processes. 

  • Maintains office staff job results by coaching, counseling, and mentoring employees 

  • Planning, monitoring, and appraising job results.  

  • Contributes to team effort by accomplishing related results as needed. 

This position offers a typical 8 to 5 pm work schedule (with some flexibility in hours) and a full benefits packet. This is a salaried position, and hours may vary depending on company business.  

 

    Qualifications

    • Associate/Bachelor's degree preferred but not required 

    • Two to three years' experience in an office manager setting with HVAC or Trades experience preferred  

    • 3+ years with proven skills in managing accounting and HR-related functions 

    • Proficient with office software  

    • QuickBooks and Paychex/payroll software experience preferred but not required
