Job Description

The Administrative Assistant - Programs is responsible for the day to day administrative requirements of the Programs Department. This position will interact directly with all department team members as well as have some interaction with AFTD volunteers, family caregivers, people affected by FTD and professional colleagues. The Administrative Assistant - Programs will manage workflow, ensure all deadlines are met effectively and efficiently and assist in the development and implementation of new administrative processes as part of the departments ongoing effort to automate and improve process. In addition, the position is a member of the organization’s administrative resource pool supporting various administrative projects.

FUNCTIONAL RESPONSIBILITIES

Essential Job Functions

  • Administrative Support: Maintains and responds to routine correspondence and phone calls; type, file, scan, print, bind, assemble and distribute digital and hard copy materials. Organizes and prepares all mailing projects including HelpLine information packets and volunteer-related materials; manages expense of same ensuring most cost-effective methods are used. Supports/handles mailing projects ensuring the most cost-effective methods are used. Supports staff with data collection, data verification and other tasks as needed. Organizes and maintains electronic, confidential and time-sensitive documents, files and records; manages the use and tracking of e-signature documentation. Manages travel arrangements and expense reports for staff as assigned. Provides proofreading, editing, formatting, and graphics support for the creation of professional and polished documents, presentations and tables. Participates in the development and implementation of effective processes and use of technology. Supports the department’s quality assurance efforts and projects; continually adapts and looks for opportunities to support the Program’s team with change initiatives while ensuring quality output.
  • Database Maintenance: Maintains department/company database(s) as assigned including data entry and data auditing. Generates reports, mailing lists and program related letters. Enters, tracks and reports on program evaluation data. Tracks applications, reimbursement and utilization of the Comstock Grant Program. Contributes to the development of scalable automated processes to ensure ease of tracking as programs and services grow.
  • Organization Support: Provide backup coverage for other administrative functions including receptionist. Assists in the maintenance of office and kitchen supplies as requested.

Other Job Functions

  • Conscientiously follows company policies and practices and takes care of Company property.
  • Other duties as assigned.
  • Travel for organizational meetings and events as needed.

Qualifications

  • Bachelor's degree preferred
  • 2-3 years of experience in administrative support required
  • 2-3 years of experience in data entry, query and general database use preferred
  • Salesforce experience a plus
  • Strong written and verbal communication skills both over the phone and in person
  • Adept at independent research and internet searches
  • Proficiency with Microsoft Office 365 required (Outlook, Word, Excel, PowerPoint and Publisher)
  • Working knowledge of Zoom, Adobe Acrobat Pro, Wufoo, Survey Monkey, SignRequest and/or Asana is a plus
  • Must be well organized and have strong attention to detail
