Job Title:Billing and Client Relations Specialist

Location:Turnersville, Glassboro, Sewell, as assigned

Job Type: Full-Time (40 hours per week)

Reports To: Office manager

Company Overview:

The Artemis Center for Guidance is a private group psychotherapy practice dedicated to delivering high-quality mental health services. We are currently seeking a full-time Billing and Client Relations Specialist to join our team. This is an exciting opportunity to play a vital role in supporting our billing operations while providing exceptional customer service to our clients.

Job Summary:

As the Billing and Client Relations Specialist, you will be responsible for ensuring the smooth and accurate processing of claims and payments and maintaining detailed financial records. You will also serve as the first point of contact for clients, managing appointments and providing outstanding service.

Key Responsibilities:

  • Submit insurance claims accurately and in a timely manner.
  • Follow up on unpaid or denied claims, collaborating with insurance companies to resolve issues.
  • Record and document client payments, co-pays, and coinsurance, keeping records up to date.
  • Check client benefits and eligibility prior to services, communicating financial responsibilities to clients.
  • Double-check claims and documentation for accuracy before submission.
  • Greet clients upon arrival and ensure they feel comfortable and supported.
  • Answer phones, respond to client inquiries, and provide information about our services.
  • Schedule appointments and manage the calendar for clinicians.
  • Assist with intake processes, including collecting necessary client forms and verifying insurance information.
  • Perform general administrative tasks as assigned by the Director.
  • Cross-train in office functions and client management software to provide coverage when needed.

Qualifications:

  • Experience in a customer service or administrative role, preferably in a healthcare or mental health setting.
  • Prior experience in medical billing or a related field is preferred, but not required.
  • Strong interpersonal and communication skills with a professional demeanor.
  • Ability to manage multiple tasks in a dynamic environment and prioritize effectively.
  • Proficient in basic office software; familiarity with billing software is a plus.

Work Schedule:

  • This is a full-time position with shifts from 10 AM to 6 PM, Monday through Friday.
  • Flexibility in hours is required as needed for coverage.

Physical and Sensory Requirements:

Must be able to lift and carry up to 40 pounds regularly.

Ability to sit for extended periods and traverse stairs in a multi-story office building.

Must have the ability to hear and speak clearly for effective communication with staff and clients.

Sufficient manual dexterity to use a computer and office equipment.

Visual ability to read printed materials and computer screens for extended periods.

Qualifications

  • Education:

    • High school diploma or equivalent; associate’s degree in accounting, finance, or a related field is preferred.
  • Experience:

    • Previous experience in medical billing, insurance claims processing, or a similar role is highly desirable.
    • Familiarity with billing software and electronic health records (EHR) systems.
  • Skills:

    • Strong attention to detail and accuracy in data entry and billing processes.
    • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
    • Proficient in Google Suite applications (Google Sheets, Docs, etc.) for data management and reporting.
    • Proficient in MacOS.
    • Basic understanding of medical terminology and coding (CPT, ICD-10) is a plus.
  • Communication:

    • Strong verbal and written communication skills for interaction with clients, insurance companies, and team members.
    • Ability to explain billing processes and insurance coverage in simple terms to clients.
  • Problem-Solving:

    • Ability to identify and resolve billing discrepancies and issues efficiently.
  • Professionalism:

    • Strong work ethic and commitment to maintaining client confidentiality and data security.
  • Adaptability:

    • Willingness to learn new billing systems and processes as needed.
