Job Description

The Texas Workforce Commission (TWC) is seeking an Executive Assistant I-II to join the Workforce Development Division team. This position is located at 1117 Trinity Street Austin, TX.

The Executive Assistant I-II Performs complex (journey-level) to advanced (senior-level) professional assistance work for an executive.  Work involves coordinating and/or overseeing high-level administrative operations of the agency or division.  May assign and/or supervise the work of others.  Works under limited-general supervision, with moderate to considerate latitude for the use of initiative and independent judgment.

GENERAL DUTIES:
-Provides highly responsible administrative and technical assistance to the Director of Workforce Development Division. 
-Responds to complex inquiries regarding program or administrative regulations, policies and procedures.
-Compiles, prepares, verifies, processes and maintains confidential agency documents, complex correspondence, reports and forms.
-Assists in compiling and analyzing data and reports. Reviews the Director’s e-mail, receives calls for the Director, and takes appropriate action on the Director’s behalf.
-Advises and assists the Director on high-level administrative matters and operations. Interprets policies and procedures and makes administrative recommendations and decisions.
- Manages the Director’s schedule to include calendar appointments, conferences, and travel activities. -Coordinates meetings and conference calls.
-Organizes and maintains administrative filing system. 
-Develops and maintains tracking process for departmental assignments, special projects, assigned action plans, and legislative inquiries.
-Monitors the progress of assignments and ensures that deadlines are met. Coordinates work between department units and managers.
-Reviews and edits branch correspondence and documents.
- Oversees or performs support staff functions including human resources management, purchasing, time distribution reporting, and assistance with budget preparation.
-Works in a fast-paced environment with an emphasis on performance excellence and continuous improvement. -Must demonstrate initiative and independent judgment, with critical analysis.
-Multitasking, attention to detail, and accuracy are required.
-Proficient user of personal computer and software applications such as Microsoft Office required.
-Performs related work as assigned

The salary for this position is $4,078- $5,746 per month, depending on qualifications. Qualifications

MINIMUM QUALIFICATIONS:
-EA I: Graduation from an accredited high school or successful completion of GED certification, plus five years of full-time experience in a responsible position which provided thorough knowledge of agency programs and services; business management practices, clerical administration and procedures; or experience in organizing and coordinating support services or program operations which included analyzing work problems and interpreting complex policies and procedures.
-EA II: Graduation from an accredited high school or successful completion of GED certification, plus six years of full-time experience in a responsible position which provided thorough knowledge of agency programs and services; business management practices, clerical administration and procedures; or experience in organizing and coordinating support services or program operations which included analyzing work problems and interpreting complex policies and procedures. One year of the required experience must have been in an administrative, managerial, supervisory, or responsible technical capacity.
-All: Fifteen semester hours of accredited college work may be substituted for each six months of the required experience with a maximum substitution of four years. A graduate degree in public administration, business administration, or human resources administration may substitute for all required experience.

Skills demonstration exercises will be administered at interview.
