Summary:

The Budget & Reporting Coordinator serves as the financial controller/administrator for all international and domestic engineering teams that want to visit the VW Arizona Proving Grounds for extensive vehicle testing. The function includes analysis of customer/visitor test plans, preparing cost estimates/quotes, obtaining approved work orders and establishing/maintaining financial tracking while onsite. Responsibilities also include compiling/summarizing all related test costs in order to provide them to the Business Operations Team for financial recovery. Establishing, maintaining and interacting with external vendors is also part of the function. The Budget and Reporting Analyst also promotes the company’s vision of integrity by displaying a positive attitude and behavior within the working environment. 

Role Responsibilities: 

Financial Administration – (70%)

• Prepare Technical Coordination (TC) customer/visitor quotes as requested by Department Management or the Vehicle Testing Supervisor.

• Responsible for analysis of visitor test plans, preparation and distribution of all test cost estimates/quotes, obtaining approved work orders, submitting invoices and preparing departmental financial updates.

• Responsible for tracking, compilation and distribution of all test cost tracking summaries.

• Compile and distribute quarterly TC billing reports and documents to the APG Business Operations team for billing purposes.

• Serve as the key user responsible for oversight of departmental Access databases (e.g. Fuel, Work Orders, Billable Hours, Parts & Materials, Shipping, etc.).

• Activate visitors’ test vehicles for the on-site fueling system, “GasBoy”, to ensure proper fuel type use and record fuel usage for cost recovery.

• Required to create and maintain a reporting system in order to provide management with specialized financial reports. 

Customer Collaboration – (20%)

• Support the APG Business Operations team by ensuring test costs are recovered in a timely manner.

• Supporting visitors/customers with any questions or additional information requests.

• Prepare and distribute accurate customer quarterly reports for billing purposes, detailing individual costs per test group based on testing/usage.

• Relay important vehicle/parts shipping information requirements to customers and act as contact person for all transportation matters on behalf of the APG Technical Coordination department.

• Initiate the transportation (return / movement / scrap) of vehicles and goods at test completion; liaises with the customer and the shipping/receiving department on the mode of transport, destination and preparing the necessary documentation.

• Maintains tracking of all customer vehicles and goods between customer and destination.

• Liaises between customer, APG, shipping & receiving and VW customs brokers with focus on goods & vehicle transports. 

Miscellaneous – (10%):

• Support Department Manager with in-depth analysis on new operation ventures

• Financial optimization based on current operation lessons learned.

• Financial reporting to analyze/optimize cost saving measures.

• Acquires and maintains new vendors and service partners as well as coordinates these as needed.

• Coordinates acquisition of services by external vendors such as vehicle rentals or special vehicles.

• Perform other duties to as assigned

Qualifications

Years of Relevant Experience:

2 years relevant experience in a commercial service-related field with a focus on financial administration, budgeting and cost tracking/reporting. 

Education

Required

• High School Diploma or GED equivalent required

 Desired

• Associates Degree

Work Flexibility: Physical requirements, travel requirements, work schedule, etc.

• Work schedule based on business requirements (minimum forty hours per week) including occasional Saturday and overtime. Core work hours 7AM – 4PM

• Flexibility in schedule required, due to unexpected changes and to meet deadlines

• Occasional travel for business & training.

• Occasionally walk, stand, or stoop and be able to lift, carry, push, or pull up to 25 pounds
