Job Description

TeamViewer is seeking an experienced Executive Assistant/Office Manager to support the President, Americas and become an important part of a fast-growing team. This person will be expected to perform a variety of tasks, help keep long term projects on track, and handle more urgent requirements. An ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role.

This position will require initiative, judgment, independent decision making and guest service skills. This person will be a proactive member of the team by volunteering and participating in events and committees while providing input and suggestions.

ESSENTIAL ROLES AND RESPONSIBILITIES

  • Calendar management, accounting for day-to-day meetings, calls, and movements, both business and personal
  • Provide high level operational and administrative support as needed
  • Work closely with the President to keep him/her well informed of upcoming commitments and follows up appropriately
  • Arrange complex and detailed international travel plans, itineraries, and agendas, and compiles documents for related meetings
  • Facilitate all expense management on behalf of the President
  • Maintain KPI and other reports
  • Facilitate the follow through of business development deals
  • Manage large volume of email replies
  • Assist in the management of organizational budgets
  • Maintain general office functions, including office supply inventory and ordering, performing regular office rounds to ensure office machines are in order
  • Act as a liaison with the building management on any suite needs (e.g., carpet cleaning, light fixture replacement, office temperature, etc.)
  • Manage office vendor relationships (e.g., cleaning services, pest control, coffee/beverage
  • Manage and coordinate special events & celebrations (holiday parties, birthdays, baby showers, etc.)

Qualifications

  • Bachelor's degree preferred with at least five (5) years of work experience, three to five of which has been in supporting C-Level Executives, and office management.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks and be adaptable to competing demands.
  • Excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with global and domestic staff.
  • Self-motivated, proactive, and forward-thinking
  • Confident personality and capable of being persistent when necessary
  • Advanced knowledge of Microsoft Excel and Power Point
  • Diplomatic and tactful
  • Extremely detail oriented and organized
  • Maintain a positive attitude and willingness to work with all team members.
  • Excellent written and verbal communication skills
  • Must be able to effectively communicate with all levels of internal and external contacts
  • Highly resourceful with ability to work independently and multi-task in a fast-paced team environment
  • Discrete concerning confidential or sensitive information
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint.
