Are you a proactive problem-solver with a passion for operational excellence? Join our Home Office team as an Operations Support Assistant and serve as a pivotal partner in driving efficiency and success. In this high-impact role, you will be the central coordinator for our business processes, acting as a heartbeat for our daily operations and a vital support to our Senior Leadership. Key Responsibilities:

  • Champion seamless operational flow by serving as the go-to point of contact for inquiries and bridging gaps between departments.

  • Drive project success by tracking key initiatives and keeping leadership inspired with regular, data-driven status updates.

  • Master our internal knowledge base by maintaining and evolving our SOPs and process guides to ensure we always operate at our best.

  • Elevate leadership efficiency through expert calendar management and the coordination of complex travel plans.

  • Ensure data integrity by managing critical operational metrics, turning numbers into insights for management review.

  • Prepare and distribute regular reports and summaries on business activities, key performance indicators (KPIs), and project statuses for management review.

  • Fuel business momentum by supporting financial tasks, including invoicing, expense reporting, and accurate data entry.

  • Act as a trusted partner to the COO and senior staff, providing high-level administrative support with the utmost confidentiality.

  • Curate professional communications, screening inquiries and drafting high-impact correspondence that reflects our leadership's voice.

  • Facilitate productive collaborations by organizing key meetings, capturing essential action items, and ensuring momentum is maintained.

  • Cultivate a world-class work environment by managing office functions, vendor partnerships, and resource procurement.

Qualifications

  • A Bachelor’s degree in Business, Operations, or a related field preferred

  • A track record of success in support within fast-paced, multi-site environments.

  • Agility and Adaptability: You thrive in evolving landscapes, pivoting quickly to meet new challenges with a positive attitude.

  • Exceptional Communication: You possess outstanding verbal and written skills, representing leadership with empathy and clarity.

  • Customer-Centric Approach: A passion for internal service excellence and supporting stakeholders with a can-do spirit.

  • Tech-Savvy & Organized: Proficient in Google Workspace and naturally detail-oriented with a gift for managing multiple priorities.
