Job Description

The Role

We are looking for an ambitious and driven individual to join our team as Senior Bid Coordinator. This is an opportunity for the right person to take the next step in their career and join a growing business determined to play its role across some of the biggest challenges of our time. The successful candidate will play an integral part in securing new business and enabling us to make a difference across low carbon technology, the energy system, digital and AI, cyber and privacy.

Our existing business development team boasts a record of success with established processes and methodologies for large public sector procurement. Gemserv is accredited to a substantial number of procurement frameworks which will remain of strategic importance. We are looking for an individual to take on responsibility for the existing approach and to develop or take it to the next level. Reporting into a business leader (Chair of Sales and Marketing Committee) and working closely with colleagues across the business, the Senior Bid Coordinator will act as the lynchpin of our approach to public sector procurement. The role requires excellent creative, commercial and organisational skills and will be responsible for all areas of bid qualification, assessment, planning coordination, response and submission.

Responsibilities

  • Work with each business unit to support the delivery of their growth strategy and in doing so develop a clear understanding of the sales objective and target opportunities this business unit will pursue.
  • Guide additional resources dedicated to bid coordination, including administrative support and secondments from other parts of the business
  • Manage the quality of the bid process to ensure that bids are produced to the highest standard, in line with Gemserv branding, and that all documentation passes a quality review before issue.
  • Manage and maintain Gemserv's audited bid process
  • Identify new opportunities via bid portals and search tools.
  • Attend and lead all bid / no-bid meetings to assess opportunities with the relevant teams, advising on decision-making through experience
  • Continuously qualifying opportunities through the bid cycle and be comfortable making recommendations to no bid if required
  • Ensure that all bid responses are compelling, on-brand and tailored to client requirements, reflecting Gemserv’s values and expertise.
  • Provide innovation, creative input and content, always adding value to Gemserv’s bids and proposals.
  • Write and maintain a library of past responses, case studies and testimonials for future bids and proposals. 
  • Draft and edit content for core processes common across bids, such as project management experience.
  • Chair and attend post-bid review meetings.
  • Work collaboratively to establish bid value matrices and win themes for each bid.
  • Ensure key management information is produced accurately and on time including the sales pipeline, sales revenue tracking reports and win/loss ratio.

Qualifications

Requirements

We welcome applications from candidates with specific procurement knowledge and those who may have experience and capability in adjacent areas. A priority is an individual with the right attitude and ambition.

In addition, we are looking for a person with:

  • Some experience of winning bids and proposals
  • Degree educated or project management background
  • Demonstrable ability to manage projects
  • Innovative and open mindset
  • Excellent communication skills required, both written and verbal. 
  • Ability to review documents and ensure a high level of quality standard are met. 
  • Can work and deliver to set deadlines  
  • Experience in managing both internal stakeholders and client demands.
  • An understanding of procurement practice, OJEU processes and how bids are won.
  • Experience in Gemserv’s core markets will be beneficial, but not essential
  • Certified to APMP Foundation or Practitioner Level desirable, but not essential
