We are currently seeking a dedicated Workplace Assistant to join our team on a part-time basis.

Job Description

  • Collaborate with the building facility management and external vendors in order to maintain the оffice area, ensuring it is clean, organized, and welcoming at all times. Managing access cards and parking slots;
  • Provide administrative support to various teams, including data entry, photocopying, scanning, and filing; order management and filing system for documents;
  • Communicate with external vendors to ensure office and kitchen supplies are ordered, stocked, and well-maintained. Vendors contact management;
  • Assist with travel arrangements, accommodation bookings, and itinerary preparation when required. Business trip orders and insurance management;
  • Events, training, and initiatives management. Benefits management;
  • Assist with special projects, prepare surveys, and represent the administrative team in TISAX Audit;
  • Maintain and update workplace records, documents, and databases. Handle incoming and outgoing mail, packages, and deliveries accurately and promptly;
  • Manage incoming calls and emails, directing them to the appropriate individuals or departments;
  • Assist in scheduling appointments and coordinating meetings, including preparing meeting rooms and necessary materials;
  • Contribute to a positive and collaborative workplace culture.

Qualifications

  • High school diploma or equivalent; additional education or certification is a plus;
  • Professional experience as an office assistant or similar role is preferred;
  • Exceptional communication skills, both verbal and written. Business English fluency;
  • Experience in using office software (MS Office suite, email) and basic computer skills;
  • Strong organizational and time-management abilities, with the capacity to prioritize tasks effectively. Attention to detail and accuracy;
  • Ability to work both independently and collaboratively within a team;
  • Performance-oriented thinking.
