- Essential Duties
- Provides administrative support and coordinator support to Directors and small - to midsize teams for a function specifically supporting multiple projects, individuals, and events.
- Requires experience in a variety of work activities and processes.
- Coordinate and support multiple projects and events for assigned teams/locations.
- Receives clear direction and processes to deliver on a scheduled timeframe.
- Gathers information/data from multiple sources to solve more complex projects.
- Partners with various teams to support function/team/location.
- Demonstrates initiative and strong customer service for internal and external customers.
- SUMMARY
- The Operations Administrative Coordinator is responsible for providing impeccable and upbeat support to the Burgaw Operations Team on daily operational reporting and tracking for the plant. The ideal candidate must have a strong customer service ability and experience in prioritizing projects for multiple departments. This role will range from hosting visitors, to event planning, and employee recruiting/retention tasks. The Operations Administrative Coordinator will provide support to all Managers and Supervisors as needed to achieve plant goals in accordance with company policies and procedures while facilitating a positive environment for all employees.
- Specific responsibilities include but are not limited to:
- Prepares correspondence, maintains files, schedules meetings, prepares and issues minutes of meetings, and prepares special projects as assigned.
- Support HR Manager in hiring processes including applicant scheduling, record keeping, recruiting initiatives, and orientation scheduling
- Create presentations, spreadsheets, fliers, documents, etc.
- Provide the Operations Team with needed support for meetings, internal committees, and other plant initiatives.
- Ensure permits are filed for critical Safety Programs and 100% compliance
- Support Management on EHS action items assigned to production
- Coordinate site visits, plant tours, and training events, ensuring security and safety guidelines are communicated and followed
- Compiles statistics on Time off Bank and Attendance Points for all hourly employees
- Provide General Support to Managers, Production, and Shipping Supervisors in developing presentations, postings, tracking JSO and updating JSAs
- Manage employee monthly safety training enrollment, report compliance, and coordinate safety incentive program
- Respond to requests from customers (both internal and external) in a professional and timely manner
- Update internal plant communications as needed, including emails, safety statistics, Marlin Communication Boards, bulletin boards, GAF Link, directional signage, safety updates, job postings, etc.
- Facilitate meeting space, meals, and supply requests for Burgaw Team events
- Coordinate mailings and reports to Corporate as requested
- Maintain documents and required record keeping for OFCCP, Management Practice Audit, employee training, plant meetings, and new hire orientations
- Organize office tasks and simplify administrative duties to increase team efficiency
- create and update plant performance graphs
- Contribute to positive community perceptions by assisting with social media posts, advertising, and company events
- Perform other duties as assigned
- TECHNICAL KNOWLEDGE / SKILLS
- Familiar with office management concepts, practices & procedures
- Intermediate proficiency in software systems (G-Suite, Microsoft Office, SharePoint)
- GENERAL KNOWLEDGE / SKILLS
- Demonstrated experience working in a customer-focused and multi-functional team environment
- Strong computer skills are required as well as the ability to adapt to new systems effectively
- Strong planning, prioritization, organizational and reporting skills
- Independent problem-solving and project management skills
- Excellent communication skills are essential
- EDUCATION / EXPERIENCE
- A High School Diploma is required, a Bachelor’s Degree preferred
- 3-5 years experience in an office environment or related role is preferred
