Job Description
TED is seeking an experienced and dynamic Event Operations Coordinator to support the successful planning, coordination and execution of events. This role requires a blend of strategic thinking, meticulous attention to detail, and hands-on execution. You’ll work across administrative, logistical and buildout tasks to ensure our events run smoothly, meet objectives and deliver outstanding experiences.
The ideal candidate is a proactive leader who excels in communication, thrives in dynamic environments, and is passionate about creating exceptional experiences. You will collaborate with diverse teams, maintain strong relationships with vendors and stakeholders, and ensure that every element of our event aligns with the overarching strategy and vision. This position pays $28-$32/hour CAN.
Key Responsibilities
Vendor + budget management
- Develop, upkeep, report and reconcile event budgets
- Liaise with and maintain vendor relationships
- Research and source new vendors and suppliers in target markets
- Negotiate contracts and pricing with vendors to optimize cost and quality
Sourcing and logistics
- Support projects by maintaining notes, resources and consolidating information into databases and presentations.
- Research event trends, venue recommendations and consolidate findings
- Source and support custom bespoke activation builds and temporary structures
- Source and consolidate orders for event needs, including decor, fencing, flooring, florals, furniture, structures, tenting, walls
- Complete necessary logistics for vendors including shipping, deliveries, load-in/out, setup/tear-down and production schedules
- Coordinate and manage load-in and load-out logistics to ensure seamless operations
Project management and reporting
- Maintain comprehensive project plans, budgets and timelines for each area of focus providing consistent weekly updates
- Work with internal and external stakeholders to coordinate operational needs
- Input and update event details and maintain event databases, presentations and other event specific documents.
- Ensure all projects are delivered on schedule and within budget
- Complete additional operation and administrative to support the events team
Qualifications
Required:
- 4+ years of proven experience in event management, hospitality, or field marketing.
- Exceptional organizational and multitasking abilities.
- Proficiency in project management tools and software.
- Excellent communication and problem-solving skills.
Preferred:
- Familiarity with Microsoft Office, Google Suite and Airtable.
- Expertise in contract negotiation and vendor management
- Strong analytical, strategic planning, and creative problem-solving skills, focusing on solutions.
- Knowledge of sustainable event practices.
