Job Description

This is a short-term, temporary contract role for in-person, onsite support at the TEDWomen 2023 conference in Atlanta, GA. You may be asked to work some or all of the dates between October 4 and October 13, 2023. The successful applicant will be responsible for any travel, accommodation and meal costs.

As a Logistics Support staff, you’ll manage operations in the onsite production office leading up to and during the conference. You’ll supervise event production runners and prioritize their schedule of errands, provide a venue or program orientation and answer general questions, and oversee the use and sign-out of rented assets like radios and laptops. You’ll also assist with key operations logistics including staff schedules and orientation, liaise with logistics vendors and help with related communications and administrative needs, and work to fulfill various requirements and tasks in support of the production team. 

You’re extremely organized, calm and able to multitask, prioritizing requests and answering general questions while serving as a welcoming and friendly point of contact for staff onsite. You’re also proactive and resourceful, able to think critically when solving problems and making effective decisions quickly. 

This position involves working long hours and being able to participate in some physical work and heavy lifting. Previous experience in an events production office or similar setting is required.

Responsibilities 

 

  • Oversee the day-to-day operations of the Management Room, managing assets, such as office supplies and computer resources, and troubleshooting when minor issues arise; assist with assigned administrative tasks and keep the Management Room organized, clean and secure 
  • Manage sign-in/out of staff radios each day, ensuring they are in good working order, and that the inventory is returned complete 
  • Maintaining a presence on a specified radio channel and Slack chat channel at all times to respond to requests and questions from staff 
  • Manage the Production Runners and the tracking of their pick-ups and prioritizing needs from onsite staff; manage petty cash and credit cards, keeping a detailed record of all transactions
  • Assist with managing staff arrivals, keep track of attendance and overall staff fulfillment using documentation provided by TED
  • Provide orientation and briefings on the venue, hand out resources and connect staff with any required equipment
  • Liaise with external staffing and logistics vendors

Qualifications

  • Previous experience in an events production office (festival, film, concert tour) or similar environment
  • Excellent organizational skills; ability to multitask and work in high-pressure situations  
  • Strong interpersonal and communication skills
  • Professional, discreet, calm and kind 
  • Knowledge of the surrounding area and local event resources is an asset 
  • Good working knowledge of Google Suite, Mac and Windows computers, printers, and basic IT troubleshooting
  • Experience with hand-held radio protocol 
  • Fluent in English
  • Must be able to participate in physical work and heavy lifting of up to 50 lbs.
