Job Description

POSITION OVERVIEW:

We're looking for a professional, energetic and detail-oriented candidate to make sure that the CEO office is organized, productive, operates efficiently and smoothly. Greeting visitors, managing office supplies, overseeing other administrative staff, owning budgets, and supporting staff with administrative tasks like scheduling meetings.

MAIN TASKS AND DUTIES:

  1. Oversee and support all administrative duties assigned by the CEO.
  2. Manage office supplies inventory and place orders as necessary and informs the CEO.
  3. Perform receptionist duties: greet visitors, and answer and direct phone calls as assigned by the CEO.
  4. Receive and sort incoming mail and deliveries, and manage outgoing mail of the CEO.
  5. Develop office policies and procedures, and ensure they are implemented appropriately.
  6. Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
  7. Identify opportunities for process and office management improvements, and design and implement new systems.
  8. Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports as assigned by the CEO.
  9. Manage CEO schedule and troubleshoot scheduling conflicts as they arise.
  10. Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling as assigned.
  11. Ensure CEO personnel files are up to date and secure.
  12. Assign and monitor clerical and secretarial function.
  13. Perform other related duties as required. 

Qualifications

Bachelor/ Masters in Business Administration

Additional Information

  1. Must have 5+ years of experience in administrative position.
  2. Must have exceptional attention to details.
  3. Strong organizational and time management skills, and ability to prioritize.
  4. Must be a self-starter and driven.
  5. Strong problem-solving skills and analytical abilities.
  6. Must be proficient with Microsoft Office and Google products.
  7. Ability to maintain a high level of accuracy in taken & preparing of minutes of meeting.
  8. Exceptional capacity for managing, leading and solving people’s issues.
  9. Action oriented individual who enjoys working hard and looks for challenges and have a thorough understanding of general management.
