We currently have an exciting opportunity for an Administrator to join our growing team!

Job Description

We are looking for an experienced and highly organised Administrator with a flare for attention to detail, a bias for action and making things happen!  The successful candidate will use their initiative to spot where they can make a difference, implement their ideas and bring the team on board too.  You will play a key role in supporting the general administrative needs of the Swipii team, in particular working closely with the leadership team and the Senior People Business Partner.  A high level of competence in HR administration support is required, in addition to a good knowledge of MS Office Suite, including MS Word, Excel and PowerPoint. You will have experience of minute taking, organising meetings and events as well as data management.

The working pattern for this post is 10am - 2pm worked over Monday to Thursday.

Responsibilities:

  • Provide administrative support through the recruitment and selection process

  • Deal with general HR related enquiries from the team.

  • Processing starters and leavers and managing HR files.

    management for the Leadership team.

  • Note taking at Board meetings.

  • Organising internal/external meetings and events.

  • Contribute to Swipii’s emphasis on continual improvement by making suggestions to improve our solutions at all levels.

  • Ensuring internal process and procedure documents are kept up to date.

  • Supporting colleagues with any ad hoc administrative tasks.

  • Running and preparing reports as required.

The role is fixed term for six months with a strong possibility it will lead to a permanent position thereafter.

Qualifications

 

  • Proactive with an ability to challenge the norm and make improvements to systems, processes, ways of working.

  • Experience of working in a fast paced environment with ability to effectively manage and prioritise a challenging workload to meet departmental and organisational deadlines.

  • Relevant and demonstrable administration experience, preferably within the field of HR.

  • Well-developed communication skills both written and oral at all organisational levels.

  • Ability to build and maintain strong working relationships, working effectively individually and as part of a team.

  • Confident and approachable with a flexible, can do attitude.

  • Competent and experienced in the use of Microsoft Office including Word, Excel and Outlook.

  • Possess a keen interest in HR and understand basic HR policies and processes
