Swaggin Wagon in Tulsa, OK is a trucking company specializing in the transportation of frac sand throughout Oklahoma, Texas and surrounding states. Our logistic experts provide our customers a means of delivering their frac sand to their well locations on time. We offer two dispatchers and two truck pushers per job to ensure good communication.

Job Description

Summary/Objective

The Accounts Payable and Payroll Coordinator is responsible for vendor invoice entry, PO tracking, and the disbursement of funds upon receipt of appropriate approval, as well as performing the payroll process. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed to account for the receipt or distribution of payment for goods and services completed or received by the organization.

Essential Functions

  • Processes vendor invoices into QuickBooks while utilizing and maintaining the Purchase Order system.
  • Processes check requests, garnishments and tax payments, ensuring all appropriate approvals have been received.
  • 1099 Vendor Maintenance.
  • Responds to vendor inquiries.
  • Reconciles vendor statements, researches and resolves discrepancies.
  • Assists with inventory valuation maintenance.
  • Analyzes, prepares and inputs payroll data.
  • Prepares weekly, monthly, quarterly, and year end payroll reports.
  • Prepares and tracks garnishments, and responds to garnishment inquiries.
  • W-2 Employee file maintenance.
  • Stays current on payroll systems to achieve alignment with HR benefits and other related and to ensure effective accounting support.
  • Assists with facilitating management and employee understanding of payroll procedures.
  • Opens the mail and distributes to appropriate staff daily.
  • Regular and predictable attendance is an essential function for this position.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

Physical Demands

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • This is a largely sedentary role; however, some filing is required. This would require the ability to lift files and items up to 20lbs, open filing cabinets, and bend or stand on a stool as necessary. 
  • Position Type and Expected Hours of Work
  • This is a full-time, nonexempt position. Typical days and hours of work are Monday through Friday 8:00 a.m. to 5 p.m., though some overtime may be required as needed.

Qualifications

Required Education and Experience

  • High school diploma or equivalent.
  • Two to three years’ previous experience.
  • Basic to intermediate QuickBooks experience.
  • Intermediate to advanced Excel experience.
  • 10-key by touch.
  • Basic knowledge of Generally Accepted Accounting Principles.
  • Excellent verbal and written communication skills.
  • Ability to type at 60-65 WPM
  • Preferred Education and Experience
  • Associates degree or beyond in accounting.
  • 3-5 years previous experience.
  • Experience with multistate payroll.
  • Experience in the transportation industry.

  • Detail oriented with the demonstrated ability to produce a consistently accurate work produce while prioritizing and accomplishing multiple tasks with conflicting deadlines.
  • Able to work independently with appropriate supervision.
  • Personable, flexible, and professional.
  • Will be required to pass a data entry test if offered the position.
