Job Description

Position Summary

The External Affairs Commissioner is primarily responsible for assisting the Vice-President (External Affairs) with executing administrative, clerical, communications, and outreach tasks, reviewing and updating materials to enhance the accessibility of the External Affairs office, assisting with the restructuring of the External Affairs office, and facilitating external advocacy and coalition-building.

Responsibilities

  1. Monitor and assist with the execution of administrative, clerical, and other tasks as directed by the Vice-President (External Affairs);

  2. Supervise other casual staff members under the portfolio including the Campaigns Office, and the Policy & Mobilization Researcher position, as well as other relevant staff assigned by the Vice-President (External Affairs) on a need basis;

  3. Monitoring the operational budget of the 4037 (VP External Admin) account and the relevant budgets;

  4. Execute the updating and maintenance of SSMU External Affairs’ digital infrastructure, including but not limited to the related websites, social media accounts, and archived accounts;

  5. Develop institutional knowledge and infrastructure on SSMU’s External Affairs, in order to centralize and streamline the portfolio towards a long-term vision to enhance the accessibility of the External Affairs office to the SSMU membership;

  6. Review relevant materials and archives at the SSMU and other student unions in order to make recommendations for restructuring the External Affairs office;

  7. Facilitate consultation with SSMU members on the external affairs of the Society, such as by organising public assemblies and surveys;

  8. Draft and update outreach materials for student engagement, such as class schedules for large classes each semester and stakeholder groups for advocacy projects;

  9. Work with other SSMU staff and representatives to develop best practices for student engagement, such as effective canvassing strategies, outreach strategies, and strategies to solicit student feedback;

  10. Plan, coordinate, and lead canvassing, including tabling and class announcements, as needed;

  11. Support the Vice-President (External Affairs) in advocacy-related meetings, attending meetings on their behalf, as needed;

  12. Engage in preliminary research in order to inform the Vice-President (External Affairs) of emerging advocacy priorities for the Society’s external affairs; 

  13. Strategise with the Vice-President (External Affairs) about priority-setting for external affairs;

  14. Coordinate and collaborate with other SSMU staff, such as the Black Affairs Commissioner, Francophone Affairs Commissioner and Indigenous Affairs Commissioner, to advance the Society’s external affairs, and work towards fulfilling the portfolio’s various mandates;

  15. Preparing an exit report which indicates lessons learned, important contacts, and any salient information for the incoming External Affairs Coordinator;

  16. Work towards the creation of a committee of the legislative council regarding external representation and affairs, for which the External Affairs Commissioner will hold the chairing position;

  17. Engage in regular, detailed status updates with the Vice-President (External Affairs).

 

Other Responsibilities and Functions 

  1. To undertake other duties and responsibilities as may be assigned by the Vice-President (External Affairs).

Qualifications

  1. Excellent written communication skills in English and French;

  2. Ability to take initiative.

  3. Ability to execute tasks in a timely manner;

  4. Ability to communicate complex information in an accessible format;

  5. Strong planning, interpersonal, and organizational skills;

  6. Strong research and report-writing experience is an asset;

  7. Strong knowledge of or interest in SSMU governance is an asset;

  8. Strong knowledge of or interest in political affairs at municipal, provincial, and federal levels is an asset;

  9. Strong knowledge of or interest in the Quebec student movement is an asset;

  10. Strong knowledge of or interest in local grassroots organising is an asset.

Additional Information

  • Paid position: $17.20 per hour

  • Hours: On average 10 hours per week

  • Contract: Mid-June 2023 through May 31st, 2024

  • Work performed across McGill’s campus, remotely, and in the SSMU office;
