POSITION SUMMARY:

Reporting to the Student Life Operations Director, the Events Coordinator, External, is responsible for the oversight and facilitation of events and activities contracted to be hosted externally by SSMU Clubs & Services. 


RESPONSIBILITIES:

  • Build strategic relationships with various external and community partners;
  • Meet with student groups in a timely manner as needed;
  • Refer organizers to various SSMU Committees for event-related support and sustainable practices; 
  • Answer inquiries from SSMU Clubs and Services regarding external event protocols, supporting documentation and mandatory requirements in a timely manner;
  • Review contracts and agreements between venues and/or other event contractors (eg. caterer, DJ, rentals, etc.);
  • Carefully examine and assist in risk mitigation of each declared event;
  • Process event documentation and forms;
  • Process Independent Contractor Agreements for external events;
  • Request and process PAL Insurance as needed by SSMU Clubs and Services;
  • Coordinate invoicing for additional insurance costs;
  • Provide guidance in regards to proper Accounting practices (eg. collecting documentation for audit, purchase orders, paying venues and vendors and cheque requests);
  • Ensure post event follow up to ensure all invoices are paid, contracts are signed, and applicable forms submitted.

Qualifications

QUALIFICATIONS REQUIRED:

  1.  College degree in Business Administration or any related field; 
  2. Minimum 1 year of experience in event coordination or in an administrative role; 
  3. Good knowledge of the McGill community and the Student’s Society; 
  4. High degree of organization and time management;
  5. High level of patience and diplomacy;
  6. Demonstrated initiative- ability to recognize problems quickly and apply sound solutions;
  7. Strong customer service and communication skills.

CONFIDENTIALITY:

It is understood and agreed that all matters to the SSMU and those clubs association or groups forming part of the SSMU are to be kept in the strictest of confidence, and nothing regarding the operations, policies and general activities of the SSMU or its constituent groups shall be divulged to any third party without the express consent of the General Manager and/or the Executive Committee of the SSMU.
