Job Description

The Building Assistant provides administrative and operational support to the Building Department and the SSMU team. They will participate in ensuring the smooth functioning of the department’s operations and act as a resource person for policies and procedures. They will also administer, implement, and oversee safety and security measures, including all aspects of repair and maintenance of SSMU owned or managed properties. 

The Building Assistant will support  the immediate supervisor in ensuring that all property is protected, and persons are served in a professional manner consistent with the expectations outlined in our internal policies and procedures in addition to other departmental tasks and projects

  1. Acts as resource person regarding the departments policies and procedures;
  2. Consults relevant documentation and liaises with appropriate resource persons to obtain and provide information on diverse and complex issues;
  3. Collaborates with supervisor and others in establishing work priorities;
  4. Follows up on and ensures appropriate implementation of decisions made by the supervisor;
  5. Provides information to membership, occupants, and visitors. Determines reason for call or visit and prepares necessary documents and/or actions to maintain a high level of client care and service. Directs callers, membership, occupants, and visitors to appropriate resource persons;
  6. Assist with preparation of calendar for repairs, maintenance, follow ups and tasks. Attends meetings, takes minutes, and follows up on decisions within the area of responsibility;
  7. Ensures inventory and purchases supplies and equipment as needed in coordination with the Building Coordinator and immediate supervisor. Arranges for servicing of office equipment;
  8. Ensures repairs and maintenance are done accordingly.  Collaborate with McGill to ensure work orders are completed in a timely manner and/or contact suppliers to complete the work;
  9. Ensure the integrity of all spaces including building equipment, cleaning, and repairs;
  10. Follow up with the Porters on tasks required in the facilities to ensure timely completion;
  11. Verify the buildings operations, monitor patrons and intervene accordingly when necessary;
  12. Investigate incidents, prepare the report and review with the Building Director;
  13. Coordinate briefings with event coordinators when needed to support and plan for client events;
  14. Conduct event site assessments to identify all safety and security issues and take appropriate corrective measures;
  15. Disseminate safety and security information to internal staff members, occupants, and clients;
  16. Perform vulnerability assessments to identify safety and security gaps;
  17. Attend or conduct meetings with student groups, and staff with the purpose of coordinating security plans, emergency measures and event services;
  18. Participate as a member of the Health and Safety Committee, undertaking various duties in Emergency Response Planning (ERP), CNESST compliance, and WHMIS.

Qualifications

 

  1. 3-5 years of experience in a similar role with a minimum of 3 years of experience in an administration role;
  2. Bachelor’s Degree in Business Administration or in a discipline related to facility operation and maintenance and/or an equivalent combination of technical training and experience in administration and maintenance;
  3. Demonstrated experience in ensuring proactive liaison with external suppliers, contractors and service providers;
  4. BSP Bureau Securite Prive;
  5. Project management experience;
  6. Knowledge of alcohol permits, including rules and regulations;
  7. Knowledge of food permits, including rules and regulations;
  8. Knowledge of security procedures, equipment, rules and regulations;
  9. Problem solving experience required;
  10. Inventory architecture experience;
  11. Attention to detail required;
  12. Integrity, good planning skills, interpersonal skills, high degree of organization skills are required;
  13. Strong communication skills in both English and French, written and oral.

Additional Information

  • Full-time salaried position: $44,000 - 47,000
  • Highly competitive group benefits package
