Job Description

POSITION SUMMARY:

The Internal Administrator will work closely with the Vice-President (Internal Affairs) to plan and coordinate inclusive and diverse events for students on campus. They will also assist in organizing the Fall and Winter General Assemblies, and any special General Assemblies, and in fostering student engagement for SSMU referendum and elections. The Internal Administrator will conduct a yearly survey to identify the most wanted events on campus and collaborate with different departments to create an inclusivity checklist for all SSMU events.

RESPONSIBILITIES:

  1. Conduct a yearly survey on the most wanted events on campus in September in collaboration with the VP (Internal Affairs) and the rest of the executive committee;
  2. Disseminate the survey online (through the listserv, social media, website for example) as well as in person (through tabling, flyering, postering, for example);
  3. Collaborate with the Vice-President (Internal Affairs), and the Student Life Operations department to plan bi-monthly small scale dry events in accordance with the findings of the yearly survey. 
    1. These events should aim for an  average size of  30-60 people depending on the event.
    2. These events should try to redirect students to other parts of the SSMU (committees, general assemblies, legislative council, job opportunities, executives, etc.);
  4. Work with different departments and the accessibility commissioner to create an inclusivity checklist by which all SSMU events must abide. This list is to be maintained and reviewed each year by the student life and operations department;
  5. Coordinate, with the Vice President (Internal Affairs), the President and the Governance Manager, the Fall and Winter General Assemblies, and any special General Assemblies;
  6. Manage and coordinate General Assembly volunteers during the event as well as assisting with the set-up on any other days of organizational logistics;
  7. Support the VP (Internal Affairs) in fostering student engagement for SSMU referenda and elections. Following observation of strengths and weaknesses, start developing a student engagement plan in collaboration with the VP (Internal Affairs);
  8. Complete and submit an exit report before the end date of the contract.

OTHER RESPONSIBILITIES AND FUNCTIONS:

Other responsibilities include undertaking any other duties assigned by the Vice-President (Internal Affairs) that are linked to event planning.

SUPERVISION REQUIRED:

The Internal Administrator reports directly to the Vice-President (Internal Affairs). 

Qualifications

QUALIFICATIONS REQUIRED:

  1. Minimum of 1 year of experience in event coordination, preferably in a student union or similar organization;
  2. Knowledge of the governance, mandates, and events and activities of the SSMU or a similar organization;
  3. Proficiency in Microsoft Office suites (Word, Excel, PowerPoint) and G Suite;
  4. Self-motivated and able to work independently with minimal supervision;
  5. High degree of integrity, strong planning and organizational skills, and excellent interpersonal skills;
  6. Strong communication skills in both English and French (bilingualism preferred);
  7. Equity training and experience working with diverse communities considered an asset;
  8. Knowledge of Information Technologies (social media, live streaming, registration systems) and experience with event software;
  9. Demonstrated initiative and ability to produce results;
  10. Excellent project management and follow-through skills.

Additional Information

  • Paid position: $15.65
  • Contract dates:  Mid-June, 2023 to May 31st, 2024
