The Student's Society of McGill University (SSMU) is currently hiring. With over 20,000 members, SSMU's role is to represent students and to offer services since 1908.

Job Description

POSITION SUMMARY:

Reporting to the Governance Manager, the Chief Electoral Officer, appointed by the Society, shall be responsible for the general conduct and execution of elections and referenda, preparation of semesterly and annual reports,  and shall fulfill these duties with all due diligence and impartiality.

RESPONSIBILITIES:

  1. The Chief Electoral Officer (hereinafter “CEO”) shall supervise all electoral officers of the Students' Society of McGill University (Deputy Electoral Officer and Elections Coordinators), oversee the operations of Elections SSMU and be responsible for administering the Society's elections and referenda;
  2. In addition to the duties laid out in the Constitution, the CEO is responsible for ensuring that the Elections Coordinator(s) (hereinafter “EC”), and Deputy Electoral Officer (hereinafter “DEO”) abide by the rules and guidelines governing elections, and do not contravene the Constitution, Internal Regulations, Plans or Policies of the Society;
  3. Exercise impartiality;
  4. Report to the Legislative Council and Board of Directors on any matters pertaining to elections, referenda and their conduct, in addition to presenting the electoral timeline to the Board of Directors at the beginning of each semester;
  5. Promoting voting among SSMU members, on campus and virtually (including graphics, pamphlets, tabling, information events, voting booths);
  6. Conduct outreach to underrepresented demographics when soliciting nominations for elected positions;
  7. Act as signing authority for elections and referenda campaign reimbursements, once per semester, in collaboration with the Vice-President (Finance);
  8. Provide training to Elections SSMU team members, Staff, and Campaigns on electoral guidelines, sanctions, and campaigning regulations, as outlined in the SSMU’s governing documents;
  9. Organize and prepare the Candidates’ Debate once a year, and information meetings for campaigns on a semesterly basis;
  10. Liaise with Chief Returning Officers (CROs) of faculty associations interested in renting the Simply Voting software and assist them in the technical aspects of conducting online polling.

OTHER RESPONSIBILITIES AND FUNCTIONS:

  1.  To undertake other duties and responsibilities as may be assigned the Governance Manager or as required by the SSMU Governance Documents.

SUPERVISION REQUIRED:
The CEO receives general direction from the Governance Manager.

Qualifications

  1. Must be a SSMU Member;
  2. Diligence and impartiality in execution of duties;
  3. Knowledge of instant run-off voting and other forms of voting;
  4. Ability to work effectively under pressure;
  5. Highly organized and strong attention to detail;
  6. Strong communication skills both in English and French an asset;
  7. No officer of Elections SSMU may be:

● a member of the Legislative Council, the Board of Directors, an Officer, a member of the Judicial Board, or a member of the Senate Caucus;

● a former member of the Legislative Council or the Board of Directors, or a former Officer;

● a councilor or executive of a Student Association;

● a member of Society Staff in any other capacity;

● a member of the editorial staff of any campus media; or

● a candidate or member of a campaign committee.

  • Paid position: $16.91 per hour
  • Start date : Immediately
  • End date : May 31, 2024
  • Contract hours: 200 hours total;

It is understood and agreed that all matters to the SSMU and those clubs association or groups forming part of the SSMU are to be kept in the strictest of confidence, and nothing regarding the operations, policies and general activities of the SSMU or its constituent groups shall be divulged to any third party without the express consent of the General Manager and/or the Executive Committee of the SSMU.
