Job Description

Reporting to the General Manager, the Club and Service Coordinator will be responsible for auditing club financial activity and reports regularly to ensure accounting procedures are followed. They will coordinate with all Clubs and Services regarding  activities to ensure compliance with internal regulations and internal policies. They will implement new policies and assist.

RESPONSIBILITIES:

Auditing:

  1. Review the club audit submissions and ensure that all expenses and revenues reported are supported by appropriate documentation;
  2. Ensure that SSMU accounting standards are being met;
  3. Track any capital assets purchased by the club;
  4. Contact clubs as necessary to request additional information;
  5. Prepare a summary of all revenues and expenses;
  6. Reconcile the revenues and expenses with the clubs’ bank statements, taking into account any changes in petty cash, outstanding cheques, payables, and receivables;
  7. Assign an audit score, and report on significant transactions, variances, concerns, and the reasoning behind the assigned audit score;
  8. Ensure funds received from the Funding Committee have been used toward the purpose for which the funds were allocated, as requested by the Funding Committee or VP Finance.

Operations:

  1. Oversee and manage the Events Declaration Form submissions, as well as collect required documentation and insurance certificates;
  2. Assist/lead training/information workshops for clubs and services;
  3. Support the creation, promotion and supervision of large scale Club and Service events;
  4. Promote clubs and services to the McGill community;
  5. Contact clubs and services as necessary to request additional or missing documentation;
  6. Address conflicts as they arise.
  7. Submit complete forms and documentation (contracts, agreements, Guest Speaker Waiver, Sponsorship Declaration, etc.)  for approval and signature to the VP Student Life, VP Finance and General Manager;
  8. Carefully survey events posted online and follow-up with any discrepancies or undeclared events and/or activities;
  9. Analyze and investigate funding application requests when prompted;
  10. Consult other SSMU departments as necessary.

Qualifications

  1. Bachelors degree an asset;
  2. Completion of  some intermediate accounting courses, or equivalent knowledge;
  3. Experience in bookkeeping, records management and administration is an asset;
  4. Intermediate knowledge of Microsoft Excel (pivot tables, sorting and filtering data);
  5. Dependability, integrity, strong planning skills, high degree of organization skills, strong analytical skills;
  6. Good communication skills in English required, French an asset;
  7. Experience communicating and negotiating with diverse communities;
  8. Eagerness and excitement in working with students.

 

Additional Information

 

  • Hours: full time, 35 hours per week;
  • Start date: December 9, 2019;
  • Salary: $40,000/year
