Job Description
The Brokerage Services Coordinator provides hands-on administrative and transaction support to Stream's Office Tenant Representation brokers in our Miami office — keeping deals, documentation, and day-to-day operations running smoothly so brokers can stay focused on their clients. In addition to supporting the brokerage team, this role provides general office support to keep the local office running. It's an ideal fit for an organized, sharp self-starter who wants to build a career in commercial real estate operations, with room to grow into senior coordinator and transaction management roles over time. This is an in-office role based in Miami, Monday through Friday during standard business hours.
Primary Responsibilities:
- Transaction Support
- Coordinate and schedule client property tours, in compliance with local Real Estate Commission guidelines. Prepare and organize the documents required to execute transactions, including listing agreements, commission agreements, leases, and sales agreements.
- Gather lease details, including property data and commission structure, to prepare and submit broker deal sheets for commission payment requests.
- Prepare and submit Property Transition Forms for newly awarded landlord representation assignments.
- Ensure all lease transaction documentation is accurate, compliant, and fully executed by the relevant parties.
- Monitor contract milestones, lease expirations, and critical deadlines, following up with all parties to keep transactions on track.
- Support the population of Stream's internal listing databases (RE Applications) and maintain listings in the external database (CoStar).
- Support accounts receivable reconciliation by tracking invoices, verifying payments, and following up to ensure timely payment of commission and expense invoices.
- Facilitate delivery of property information packages in response to Requests for Information (RFIs), Requests for Proposals (RFPs), and Letters of Intent (LOIs), ensuring deadlines are met.
- Business Development
- Support Coordinate client and broker engagement events, along with team gatherings.
- Help organize and gather the information needed for proposals, pitches, and presentations.
- Partner with Marketing and the Analysts to deliver pitch and proposal materials for new business pursuits, and help showcase available space within Stream-leased properties.
- Administrative Support
- Keep broker bios current and accurate.
- Maintain lease and property files in a Microsoft Teams and SharePoint environment.
- Prepare agendas and gather materials for property ownership calls.
- Coordinate leasing signage requests across the leasing team, Marketing, and vendors.
- Serve as the central point of contact and planner for the team's client and broker events, in collaboration with Marketing.
- Gather, prepare, and distribute marketing materials, and act as liaison between brokers and Marketing on marketing campaigns.
- Work within Stream brand guidelines to review and create outgoing property marketing materials, including flyers, proposals, tour books, maps, floor plans, and other sales materials.
- Provide general office support to keep the local office running smoothly — including keeping common areas and supplies stocked, flagging items that need to be ordered, and handling small office-administrative tasks.
Qualifications
- 2-4 years of relevant administrative or coordination experience, ideally supporting multiple people in commercial real estate or another professional-services environment.
- Bachelor's degree a plus; equivalent experience will be considered.
- Detail-oriented, organized self-starter who can set priorities, juggle multiple projects, and work independently in a fast-paced environment.
- Reliable and resourceful, with strong follow-through and the initiative to solve problems and ask the right questions.
- Comfortable supporting a busy, high-performing team and building trusted working relationships with brokers.
- Strong oral and written communication skills, including creating and editing marketing materials.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint) and Adobe Acrobat, with the ability to quickly learn new and proprietary software.
- Comfort using AI tools to work efficiently is a plus.
- Commercial real estate experience is a plus but not required — we will train the right person on Stream's systems and processes.
