    POSITION OVERVIEW

    The Senior Lease Administration Specialist plays an integral role in the success of Stream’s Property Accounting platform by serving as an advanced subject matter expert for lease setup, billing setup, recovery structures, CAM reconciliation review, and lease administration best practices within the accounting system. This position supports commercial lease portfolios across retail, industrial, and office assets, partnering closely with Property Managers and Property Accountants to ensure lease data is entered accurately, billings are properly established, complex recovery matters are evaluated, and opportunities to improve recoveries are identified. Property Managers remain responsible for lease abstraction and approval of lease data entered into the accounting system; this senior role provides advanced technical lease administration expertise, reviews complex setups and CAM matters, supports training and quality control, and serves as an escalation resource for lease-related accounting system questions.

     

    Organizational Scope

    • Provides advanced lease administration system expertise to Property Accounting and Property Management teams across commercial retail, industrial, and office assets.
    • Serves as a senior subject matter expert for accounting system lease setup, billing setup, recovery structures, critical dates, CAM reconciliation review, and lease administration best practices.
    • Partners with Property Managers, who are responsible for lease abstraction and approval of lease data entered into the accounting system.
    • Provides training, guidance, quality review, and escalation support to Property Accountants and Lease Administration team members when complex questions arise.

     

    PRIMARY RESPONSIBILITIES

     

    Lease Administration System Expertise

    • Serve as a senior subject matter expert for lease administration setup within the accounting system for commercial retail, industrial, and office assets.
    • Review complex lease data provided by Property Managers and confirm accounting system setup aligns with approved lease abstracts, supporting documentation, and established best practices.
    • Provide advanced guidance to Property Managers, Property Accountants, and Lease Administration team members on lease setup, billing setup, recovery structures, and accounting system lease administration questions.
    • Develop, document, and reinforce accounting system lease administration standards, templates, and best practices across the Property Accounting platform.

    Lease Setup, Critical Dates & Billing Structures

    • Set up and review complex new leases in the accounting system, ensuring charges, escalations, recovery terms, options, and critical dates are entered accurately and completely.
    • Oversee accuracy of accounting system data related to renewals, expirations, rent commencements, options, notice periods, amendments, and other lease-driven dates.
    • Evaluate proper system administration of free rent periods, abatements, tenant improvements, lease incentives, recovery caps, exclusions, gross-ups, and other complex billing-related lease provisions.
    • Provide quality review and escalation support for commencement, billing, and recurring charge setup based on approved lease information provided by Property Managers.

    CAM Reconciliation, Recoveries & Billing Support

    • Review complex CAM reconciliations prepared by Property Managers to evaluate accuracy, lease compliance, billing methodology, and recovery opportunities.
    • Calculate CAM reconciliations and estimated recoveries when requested or when the scope of services requires senior lease administration support.
    • Analyze operating expense recoveries, billing pools, caps, exclusions, gross-ups, audit rights, lease amendments, and lease-specific recovery language to identify opportunities to increase recoveries.
    • Review annual estimated CAM and operating expense billing setup in the accounting system for accuracy, consistency, and compliance with lease terms.
    • Partner with Property Accountants, Property Managers, and leadership to resolve complex tenant billing questions, recovery disputes, and lease-related accounting system concerns.

    Training, Documentation & Close Support

    • Lead practical training and provide advanced guidance to Property Accountants so they can perform lease administration activities within the accounting system with confidence.
    • Mentor Lease Administration team members and support consistent execution of lease setup, billing, recovery, and CAM reconciliation processes.
    • Maintain and improve organized, audit-ready lease setup support, billing documentation, CAM reconciliation support files, templates, and process documentation.
    • Support month-end and year-end close processes by resolving complex lease billings, recovery, and accounting system lease administration matters.

    Property Management, Accounting & Client Support

    • Respond to and resolve escalated Property Manager, Property Accountant, tenant, ownership, and client inquiries regarding lease setup, billing terms, CAM recoveries, and account matters.
    • Assist with internal and external audits, annual property management audits, lender requests, ownership reporting, and tenant estoppels by providing lease setup, billing, recovery documentation, and senior-level analysis as requested.
    • Support acquisitions, dispositions, transitions, and due diligence activities by reviewing complex lease setup requirements and preparing system-related summaries, recommendations, and risk considerations.
    • Lead process improvements, training opportunities, and system setup best practices that strengthen lease administration consistency across the Property Accounting platform.

    Qualifications

    • Bachelor’s degree in Accounting, Finance, Business Administration, Real Estate, or a related field preferred.
    • 7+ years of lease administration, property accounting, commercial real estate, or property management accounting experience preferred.
    • Advanced working knowledge of Yardi Voyager and MRI property management software required.
    • Strong understanding of commercial lease structures, terminology, lease interpretation, tenant billing, recovery provisions, amendments, caps, exclusions, gross-ups, and complex recovery language.
    • Significant experience reviewing and analyzing CAM reconciliations, operating expense recoveries, estimated billings, and tenant billing setup.
    • Ability to identify recovery opportunities, evaluate complex lease and billing issues, and communicate practical recommendations to Property Managers, Property Accountants, and leadership.
    • Proficiency in Microsoft Excel and the broader Microsoft Office suite, including the ability to analyze large sets of lease, billing, and recovery data.
    • Highly detail-oriented, organized, analytical, and solutions-oriented, with strong judgment and problem-solving skills.
    • Excellent written and verbal communication skills, with the ability to train, mentor, and support Property Managers, Property Accountants, and Lease Administration team members.
    • Ability to manage multiple priorities, resolve escalated issues, and meet deadlines in a fast-paced, deadline-driven environment.
    • Third-party property management or property accounting experience preferred.

    LICENSES/CERTIFICATIONS/SPECIAL REQUIREMENTS:

    • Industry designations or coursework such as RPA, FMA, CPM, or commercial real estate lease administration training a plus.

    • Complex CAM reconciliations are reviewed or calculated as needed, analyzed for accuracy, and used to identify practical opportunities to increase recoveries.
    • Property Accountants and Lease Administration team members have a senior-level resource for accounting system lease administration questions and develop stronger lease administration capability over time.
    • Lease setup, billing support, CAM support, audit documentation, templates, and process documentation are organized, current, and consistently used across the Property Accounting platform.
    • Property Managers, Property Accountants, tenants, ownership, clients, and leadership receive timely, accurate, practical, and senior-level support on lease setup, billing, CAM, recovery, and account matters.
