We are currently seeking a People Systems Support Agent. You will play a pivotal role in ensuring the smooth operation and utilization of our organization's People Systems. You will be the first point of contact for People Systems queries, responsible for providing exceptional customer support, troubleshooting technical issues, and contributing to the overall effectiveness of our People Systems. In this dynamic role, you will collaborate closely with the wider People Systems team, ensuring timely system updates, successful implementation of new functionalities, and user-friendly training and documentation.

Job Description

First Line Support:

  • Serve as the initial contact point for all People Systems queries from the helpdesk, adhering to established Service Level Agreements (SLAs).
  • Efficiently triage and respond to queries, providing accurate information and resolving issues in a timely manner.
  • Ensure excellent customer experiences through clear and empathetic communication while addressing user concerns.

Troubleshooting and Issue Resolution:

  • Investigate and troubleshoot technical problems and errors related to People Systems.
  • Collaborate with relevant teams to identify root causes of issues and implement effective solutions.
  • Document issues and resolutions for future reference and knowledge sharing.

Testing and Functionality Support:

  • Support the People Systems team in end-to-end testing of new functionalities and processes across various systems, including Core HRIS, Case Management, ATS, Absence Management, and LMS.
  • Provide valuable feedback on system performance, user experience, and potential improvements.
  • Assist in making changes to the People Systems, ensuring that changes are implemented correctly and aligned with business requirements.

Training and Documentation:

  • Maintain and update training materials and process maps for People Systems, ensuring they are accurate and up to date.
  • Conduct training sessions for People Team and other departments on new functionalities and conduct refresher sessions as needed.
  • Create comprehensive training documentation to aid in user understanding and adoption.
  • Assist in change management activities related to system updates.

Change Management and Project Support:

  • Participate in change management initiatives related to People Systems, aiding in the successful adoption of new processes and functionalities.
  • Contribute to continuous improvement projects, providing insights and suggestions for enhancing People Systems functionality and user experience.

Qualifications

Competencies, skills and experience:

  • Familiarity with ticketing system/CRM, HRIS and employee management software systems.
  • Proficiency in troubleshooting technical issues related to software and user access.
  • Excellent verbal and written (proficiently in English) communication skills to interact with users, understand their issues, and provide clear solutions.
  • Ability to convey technical information in a non-technical manner for users with varying levels of technical expertise.
  • Analytical skills to diagnose and resolve system issues effectively.
  • Ability to identify root causes of problems and implement appropriate solutions.
  • Patience and empathy in dealing with users' concerns and inquiries.
  • Ability to maintain a positive and helpful demeanour while assisting users.
  • Ability to create user guides, tutorials, and documentation to assist users in understanding system functionalities.
  • Conducting training sessions for users to enhance their proficiency in using the People systems.
  • Knowledge of HR processes, policies, and procedures to effectively support users in their tasks is desirable, but not essential.
  • Ability to suggest improvements in system usage and processes based on user feedback.
  • Experience in a similar role providing 1st line support on issues relating to people systems or CRM.
  • The ability to work independently and possess sound judgment to prioritise and escalate matters to management where appropriate.
  • The ability to work in a fast-paced organisation.
