Job Description

PURPOSE OF THE POSITION

The Executive Assistant manages independently the CEO office. This role aims at supporting organizational and administrative tasks for the CEO, the Konzernleitung, the BoD directors and shareholders at the headquarters (STI) in an organized, conscientious, meticulous and precise way of working.

As the first point of contact for executives and the other external stakeholders, the executive assistant plays a key role in the company’s image. In charge of supervising the CEO office, the incumbent ensures high standard service quality in terms of office and event management.

  • Administrative Support: Assisting  the CEO, President of the board / Board of directors / Shareholders in all administrative matters
  • Event Management: Organize logistics and coordinate meetings, workshops, and conferences for leadership and corporate events, including Board of Directors, Shareholders, and KL members.
  • Project Management: Lead office digitalization by creating a digital file structure with maintenance guidelines, managing and contributing to specific files and projects as requested.
  • Office Management: acting as a contact point for third-party service providers and stakeholders, ensuring continuous front desk presence, and managing catering and material deliveries.

Qualifications

Requirements: 

  • Work experience for at least 5 years in an international company as an Executive Assistant, Personal Assistant or similar role
  • PA diploma or certification is a plus
  • Timely flexibility during Board and Shareholder Meetings as well as during KL meetings
  • Excellent MS Office knowledge and skilled with office gadgets and applications (e.g. e-calendars and copy machines)
  • Fluent in German and English.  French knowledge is a plus
