Job Description

We are seeking an organised and efficient Administrator, Project to join our team in Johannesburg, South Africa. In this role, you will provide comprehensive administrative support to project teams, ensuring smooth project execution and effective coordination across all stakeholders. The successful candidate will be instrumental in maintaining project organisation, managing documentation, and supporting project managers in delivering projects on time and within scope.

  • Coordinate project schedules, timelines, and key milestones, ensuring all deadlines are met and communicated effectively to relevant parties
  • Maintain comprehensive project documentation, records, and filing systems in both physical and digital formats
  • Organise and schedule project meetings, prepare agendas, and document meeting minutes for distribution to stakeholders
  • Support project managers with administrative tasks including correspondence, report preparation, and data compilation
  • Track and monitor project budgets, expenditures, and resource allocation, reporting variances to project leadership
  • Liaise between project teams, clients, and internal stakeholders to facilitate effective communication and collaboration
  • Monitor project progress against established timelines and budgets, providing regular status updates and reports
  • Manage project resources, equipment, and materials, ensuring availability and proper maintenance
  • Ensure compliance with organisational procedures, policies, and project governance requirements
  • Provide clerical support including typing, filing, scheduling, and general office administration

Qualifications

**Required Skills and Experience:**

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organisational and time management skills with ability to prioritise multiple tasks
  • Excellent written and verbal communication skills
  • Meticulous attention to detail and accuracy in documentation
  • Proven experience in data entry and record management
  • Ability to work collaboratively within a team environment
  • Professional demeanour and discretion when handling sensitive information
  • 5–10 years' experience in an administrative or project support role

**Desirable Skills and Experience:**

  • Familiarity with project management software such as Microsoft Project, Asana, or Monday.com
  • Knowledge of project management principles and methodologies
  • Experience in stakeholder management and coordination
  • Budget tracking and financial administration experience
  • Problem-solving ability and proactive approach to identifying process improvements
