Job Description

Square is looking for a dynamic individual to join the Executive Assistant organization, reporting to the EA Team Lead, supporting one of our top executives and managing a team of EAs. Our Executive Assistants are strategic partners who hold everything together:  from calendaring and travel to reporting processes and team support. You will participate in complex and strategic projects to support Square's success. The Square EA Team is a centralized organization that works cross-functionally. They are the carriers of culture and community throughout the company. 

We are looking for a tenured C-Suite EA with experience supporting Board(s) of Directors and a minimum of 3 years of people management experience. We’re looking for someone who has a natural passion for learning and people development, enjoys taking on new challenges and projects, and who excels at being mindful of details.

Executive Assistant Responsibilities

  • Provide detail-oriented administrative support to a top executive, maintaining a complex calendar, requiring coordination with both internal and external executives, Board of Directors support, business partners and EAs.

  • Be the executive’s right hand by attending meetings, taking notes, participating and being a knowledgeable resource, while ensuring executive preparation and effectiveness. 

  • Collaborate with other EAs.

  • Excel at communication across all levels of expertise, translating priorities and influencing when necessary.

  • Prioritize projects, identifying gaps and taking ownership; assist with compiling and preparing confidential materials, agendas for team meetings and events.

People Management Responsibilities

  • Lead a team of 2+ EA Managers that manage ~12 Executive Assistants with varying levels of experience and responsibility, while maintaining a safe, secure, and legal work environment. 

  • Manage administrative responsibilities for direct reports, including time off approval and balance, multiple reporting processes, Workday management, and team resource maintenance.

  • Always assess the evolving needs of the team for EA support. Lobby for and secure headcount. Hire and onboard new team members.

  • Communicate job and performance expectations through consolidation, synthesis, and delivery of performance feedback during our talent planning, performance review, and promotion cycles.

  • Support direct reports’ effectiveness and successful execution of their job responsibilities, while monitoring bandwidth and balance of work across the team. 

  • Foster direct reports’ professional development through dynamic mentoring and coaching.

  • Establish and maintain systems, policies, procedures, and productivity standards.

EA Leadership Team Responsibilities

  • Work with other EA Leads and Manager on team-wide matters. This includes annual and incremental budget planning processes, team-wide load balancing, identifying trends and recommending systemic improvements. 

  • Active participant in company-wide promotion and compensation calibration, recruiting outlook and hiring processes, talent planning, and other team building programs.

  • Collaborate, analyze and execute outcomes from the bi-annual Employee Engagement survey.

  • Faithfully represent the EA Team’s values and interests internally and externally. 

  • Maintain diplomatic and positive working relationships with cross-functional partners. 

Qualifications

  • 10+ years of experience as an Executive Assistant, with increasing responsibility leading to support of the C-Suite.

  • 3+ years of experience managing a team.

  • History of investing time and effort in the betterment of an EA Team. 

  • Strategic communication skills.

  • Experience handling multiple administrative and executive support tasks and projects and communicating across all levels of expertise. 

  • High level of accuracy.

  • Be proactive and resourceful when problem solving.

  • A good listener.

  • Technologically fluent.
