Job Description
We are hiring a highly experienced Executive Assistant to the CEO to serve as a trusted partner and extension of the Executive Office. In this unique and high-impact role, you will manage a diverse range of strategic, operational, financial, governance, and personal matters in a highly international environment.
Working closely with the CEO, you will play a critical role in ensuring the smooth execution of business priorities, acting as a key liaison between the CEO and internal and external stakeholders, including board members, investors, legal counsel, regulators, customers, and senior leaders
THE CHALLENGE
Primary and fully-fledged responsibilities:
Managing international/highly complex business licenses (mainly in the US).
Invoice settlement and payment transactions, insurance, voucher submission and cooperation with accountant, etc.
Clarification of issues with external agencies and service providers.
Managing loan and investment (PE) portfolios, incl. cash-flow sheets.
Administrative link to associated companies and licensing authorities.
Support in asset management, communication with banks, lawyers etc.
Preparation of tax documents and communication with tax experts, authorities, etc.
Cooperation in the field of facility management of office and residential properties (Switzerland and abroad).
Control of "action items", deadlines, etc.
Support in the signing process of contracts (incl. notarization)
Ensuring of timely payment of invoices
Drafting and editing letters, e-mails and documents and ensuring follow-up.
Greeting and check-in for clients and other guests at meetings and events. Communication directly and on behalf of the CEO with board members, customers, employees, etc.
Support and coordination of internal projects in a wide range of areas
Processing of physical mail, filing of documents.
Organization of multi-day management meetings, board meetings, on-site meetings, internal events etc.
Secondary responsibilities:
General administrative and organizational tasks (e.g. travel organization through our booking tool as well as with private vehicles including ensuring correct internal invoices and detailed list for legal, finance and tax (Excel)).
Coordination and organization of business and private appointments and managing agenda.
Scheduling travel that includes airfare, accommodations, etc.
Taking care of personal matters.
Processing of incoming mail and preparation of correspondence D/E.
Support of the workflow in the private household when required.
Completion of errands.
Deputy of the second Personal Assistant to CEO.
ABOUT YOU
- Full professional proficiency in both English and German, with the ability to confidently draft correspondence, communicate with stakeholders, and represent the CEO in both languages.
- Significant experience supporting a CEO, founder, board member, or senior executive within a complex, international environment.
- Proven ability to build trusted relationships and communicate effectively with board members, investors, regulators, external advisers, banks, legal counsel, and senior business leaders.
- Experience coordinating contracts, notarisation processes, regulatory documentation, business licences, corporate records, and governance-related activities.
- Experience managing invoices, payment processes, cash flow tracking, investment-related administration, and coordination with finance, tax, and accounting professionals.
- A valid driving licence.
- Demonstrated ability to handle highly confidential business, financial, legal, and personal matters with professionalism, sound judgement, and absolute confidentiality.
Please note: This position is based in St. Gallen, Switzerland, and requires regular in-person support to the CEO. Candidates must be based in, or willing to relocate to, the St. Gallen region
