As our Office Assistant in Tallinn, you'll be the heart of our office operations, ensuring everything runs smoothly while creating a welcoming atmosphere for employees and visitors alike. You will ensure the efficient and effective delivery of services and programs to support the organization's goals and objectives. Working closely with our Office Manager and Office Lead, you'll shape the workplace experience for our team. Role is reporting to local Office Manager.
THE CHALLENGE:
- Physical office management: Maintain a well-organised office environment, office supply management, overseeing the cleanliness of office space.
- Create an Amazing Office Experience: Transform our office into a vibrant workplace through thoughtful space management, coordinating supplies, and maintaining a comfortable environment for all employees.
- Office Operations: Take ownership of essential administrative and secretarial tasks, correspondence, visitor management while ensuring smooth daily operations.
- Local Employee Engagement: Participate in planning and executing engaging office events, to create opportunities for team connection and collaboration. Support of internal/external meetings in the office. Coordinating internal communication and tools management.
- People Partnering Model: Ensure smooth cooperation with the People Advisors, and People Operations team; input to processes and ways of working where applicable; actively drive change in the people teams.
- Local IT Support: Support IT inventory and any other tasks from IT department in collaboration with people operations.
- Assist with health and safety compliance initiatives and responsibilities, including helping to organize employee health checks.
- Support ad-hoc asks for local management team.
ABOUT YOU
- Professional experience in administrative roles such as Office Administrator/Assistant or Secretary.
- Experience with office operations management, understanding of HR processes, and ability to support diverse team needs.
- High-level communication, interpersonal, and problem-solving skills.
- Demonstrated ability to manage multiple priorities and deliver results in a fast-paced environment.
- Experience with event coordination, IT support coordination as well as health and safety compliance will be valued.
- Proficient in Microsoft Office Suite with strong organisational skills.
- A proactive, detail-oriented individual with a collaborative mindset.
- Fluency in Estonian and English both written and oral with excellent communication skills.
