Job Description
We are currently looking for an experienced Office Manager to join our Ljubljana local team. In this role, you will own all activities related to office operations. You will primarily be responsible for a variety of office administrative tasks but also organization of internal events and internal communication. We are entering exciting times as we are currently building our own Ljubljana campus building and will be moving there soon. You will play a key role in creating a great office experience there.
THE CHALLENGE:
Own all office administration and local procedures and lead local office administration team (receptionist, office administrator).
Facility/service management for campus building (office premises), including collaboration with service providers (e.g. cleaning, restaurant, gym).
Collaboration with external and internal accounting and finance and liquidation of received invoices.
Organization of internal events and other employee engagement activities.
Ownership of local internal communication and administration of local intranet site (SharePoint).
Continuous improvement of different office operation processes and help with internal documentation (e.g. local office playbook, internal guidelines and processes, physical security).
Collaboration with internal suppliers and procurement for local office (e.g. groceries, sanitary and office supplies, fruit, and small IT equipment).
Support with internal visitors, business trips and travel reimbursements
Assist in people operation areas when needed (e.g. organizing medical examinations and occupational health and safety training).
Help create an inspiring and positive work environment and ensure smooth running of our office on a day-to-day basis.
YOUR PROFILE:
Strong organizational and communication skills
At least 3 years of experience in office administration or other similar position (event management, internal communication)
Positive and proactive approach
Detail-oriented with good problem-solving skills
Fluency in English both written and spoken
IT literacy and good knowledge of Excel
