Job Description
SUMMARY
The Staff Accountant plays a crucial role within our finance and accounting team, reporting directly to the Director of Financial Operations. This position encompasses a broad range of responsibilities, including managing accounts payable (A/P), payroll, monthly journal entries, and the monthly closing of books. The role involves ensuring accuracy and compliance in invoicing, maintaining the Accounts Payable and Accounts Receivable sub-ledgers, and other essential accounting tasks. Additionally, the Staff Accountant will oversee the company’s T&E and payroll processes and become proficient in various programs critical to an effective closing process.
RESPONSIBILITIES
- Foster and maintain effective relationships with team members, department heads, and vendors to facilitate smooth invoice processing, resolve issues, and ensure budget adherence.
- Process invoices using NetSuite, ensuring proper approvals, matching purchases with orders, and maintaining accurate general ledger entries.
- Audit and process expense reports using specialized software.
- Coordinate semi-monthly payroll processing.
- Calculate and record month-end accruals for assets, liabilities, and revenues.
- Assist in the preparation of financial reports.
- Proficiency in managing financial aspects of inventory accounting, including examining open purchase orders, monitoring pending billings, and tracking pending receipts.
- Track billable events, secure proof of customer acceptance, and assist with revenue recognition.
- Engage in cost center interactions to facilitate communication on actuals versus budget and forecasts. This includes reviewing budgets and the latest forecast during invoice processing or PO approval and communicating effectively with the respective cost center.
- Conduct balance sheet reconciliations during monthly close.
- Investigate queries related to financial statement closings and reviews.
- Support for annual audit processes with proper documentation.
- Manage departmental files and archive documents.
- Prepare quarterly Sales & Use Tax Returns and manage use tax recordings on purchases. Handle IRS Forms 1099 and 1096 filings annually.
- Maintain and update the vendor database, including setting up new vendors and applying for credit terms.
Qualifications
- Bachelor's degree in Accounting or Finance
- A minimum of 4 years of experience in accounts payable with the ability to close month-end and familiarity with other accounting cycles.
- Strong analytical skills and advanced knowledge of Excel for generating detailed and complex analyses.
- Ability to work independently, with a proactive approach and a keen eye for detail, especially during financial closings.
- Demonstrated leadership qualities, including being a team player who is receptive to feedback.
- Excellent communication skills and the ability to collaborate effectively with all organizational levels.
- Capacity to manage and prioritize multiple projects amidst changing priorities within a fast-paced environment.
- Commitment to the success and compliance of the Company, adhering to GAAP standards.
- Experience working in a regulated environment
- Ability to read, understand, and execute job functions in accordance with Standard Operating Procedures

PREFERRED
- CPA certification
- Proficiency in NetSuite
- Industry experience in healthcare, healthcare technology, manufacturing, or software technology
