Job Description

Spencer Health Solutions is currently looking for a highly organized, self-motivated, experienced individual to provide support and manage lots of moving parts for a rapidly growing venture-capital-backed company. As a strategist, consultant and implementer, the successful candidate will ensure streamlined activities within the organization based on the priorities of the C-Suite. Reporting directly to the CEO, the ideal candidate is someone who has experience managing a complex calendar, working and interacting with C-level executives and customers and possesses high levels of integrity and discretion in handling confidential information.

The Chief of Staff must be able to navigate and change directions quickly within a fast-paced environment working with a calm sense of urgency, and a positive attitude. Strong verbal and written communication skills, ability to multitask effectively, attention to detail with consistent and timely follow-through are important prerequisites for this role. A successful candidate will have demonstrated strong planning, organizational and time management skills supporting senior leaders.

 

Responsibilities

  • Maintain an understanding of the medical device space including understanding strategic third-party partnerships and the clinical trials market
  • Strategic projects to include but not limited to investor updates, fundraising pitch decks, and operations support 
  • Facilitation of weekly Senior Leadership Team meetings
  • Provide overall support to the senior executive team over a wide range of administrative tasks including managing calendars, scheduling travel, organizing internal and external meetings, preparing expense reports, and following up on various actions.
  • Work with board members and investors to schedule calls, board meetings, as well as help prepare and distribute board and investor packages.
  • Helps drive completion of key deliverables and following up on outstanding action items.
  • Maintaining schedules, plans, and coordinate team/ office events.
  • Will include general office management responsibilities

Qualifications

 

  • 5+years of demonstrated executive, operations, sales/marketing and/or office facilitation experience in a fast-paced environment
  • Proven track record of effectively interacting with and supporting senior management
  • Ability to handle confidential information and demonstrating the highest levels of integrity, discretion, and judgment always.
  • Strong interpersonal, verbal and written communication skills
  • Impeccable managerial and interpersonal skills
  • Ability to work strategically and collaboratively across departments
  • Ability to prioritize and handle multiple assignments at any given time while maintaining a commitment to deadlines
  • Attention to detail with strong problem-solving and troubleshooting skills
  • Ability to respond with appropriate urgency to situations and requests while maintaining a calm demeanor
  • Experience with a wide range of office products including MS Outlook, Word, Excel and PowerPoint, NetSuite, Expensify, and TripAdvisors.
