Job Description

The Administrative Assistant is the face of the dealership and will provide a welcoming first contact with our customers followed with attention to detail in directing the proper resources to meet with the guest in order to provide the proper service level.
 

Duties and Responsibilities:

  • Promptly greets customers in a courteous, friendly, and professional manner.
  • Produces all new customer files and accurately loads the information into the computer system and documents the physical file appropriately.
  • Answers all incoming phone calls to the Collision Repair Center and transfers the call or takes messages as needed.
  • Stores all closed and completed customer files.
  • Insures the appearance of the customer waiting areas are neat and well maintained.  Insures that beverages are available and in good supply for customers and guests of the Collision Repair Center.
  • Order supplies and equipment as needed for the Collision Repair Center.
  • Files forms and other materials in appropriate customer files.
  • Sorts and routes all incoming and outgoing mail.
  • Collects and processes customer and insurance company payments.
  • Calls and schedules all DRP assignments as they are assigned.
  • Submits all Ford warranty digital imaging claims and prepares the repair orders for submission.
  • Processes all purchase orders and vendor rush checks.
  • Flags technician payroll.
  • Runs errands with porter as needed.
  • Fills out Safety and Environmental Compliance checklists weekly.
  • Assists the Collision Repair Center manager as needed or as requested.

Qualifications

  • Excellent interpersonal, verbal, and written communication skills.
  • 1+ years of experience as a receptionist in a professional business setting.
  • Ability to work in a high-paced work environment.
  • Motivated self-starter with the ability to collaborate effectively across departments with minimal supervision.
  • Proficiency in Microsoft Word, Outlook, and Excel.
  • Punctual with strong time-management abilities.
  • High School Diploma or equivalent.
  • All applicants must be authorized to work in the USA.
  • All applicants must be able to demonstrate ability to pass pre-employment testing to include background checks, MVR, drug test, and valid driver license.

Additional Information

Compensation (Hourly):

  • $17.00 / hour

Schedule:

  • FULL TIME
  • 5x days a week / Off Sundays and 1x other day
